The position involves providing accounting and clerical support to project teams, project managers, and/or department managers. Responsibilities include printing and distributing project billings (BRRs), preparing draft invoices, reviewing timesheets and subcontractor invoices for correct use of project numbers and labor codes, entering project charges, and scanning and uploading job charges. The role also requires contacting clients and external contacts as needed, responding to marketing research requests, and ensuring all deadlines are met. Additional responsibilities include document processing and transmission, word processing, data entry, registering projects and proposals, creating folders, filing, assembling and binding reports, formatting and scanning documents, transmitting documents, assisting with answering phones and office mail delivery, and providing backup to other administrative personnel during periods of co-worker leave, lunch breaks, and training. Other clerical tasks may be required as well.
