About The Position

This position is eligible for an additional sign-on bonus. The Electronic Medical Record Specialist is responsible for the creation, maintenance, protection, accessibility, and compliant exchange of patient medical records within an Electronic Health Record (EHR) environment that meets contract, privacy, records-management, and information-security requirements. The role supports accurate patient recordkeeping through initial and ongoing employee training, secure storage and retention, required reporting, lawful disclosure, interoperability with government-required interfaces, and timely response to authorized data and documentation requests. The position also supports continuity of care during patient transfer, release, or other transitions by ensuring required record content is complete, accessible, and handled in a secure and confidential manner.

Requirements

  • Experience in a healthcare setting as an Electronic Health Record Specialist, EHR trainer, or similar position where EHR oversight, training and compliance were part of the role.
  • Experience with proficiency in Microsoft Office programs, specifically MS Word, Excel, Outlook, SharePoint.
  • Associate or bachelor's degree in health information management (HIM), health informatics, healthcare administration, health sciences, or information technology (healthcare-focused) is preferred.
  • High school diploma or equivalent with relevant experience in medical records or healthcare systems may be considered.

  • Required to walk unaided at a normal pace for up to 5 minutes and maintain balance.

  • Must have the ability to assist sick, injured, or aging patients or staff exiting the building (may require lifting, dragging, wheeling, or carrying someone who weighs significantly more than self).

  • Must be able to lift, push, or carry 30 pounds.
  • Must perform the duties of my job in a stressful and often austere environment without physical limitations.

  • Must maintain current/physical residency in the continental U.S.
  • Pass a medical examination conducted by a licensed physician within 30 days prior to initial assignment.
  • U.S. citizen and have resided in the U.S. for the last five years (unless abroad on official U.S. government duty).
  • Successfully engage in and complete a thorough Background Investigation.
  • Poses or have ability to obtain required security clearances.

  • Verbal and written proficiency in Spanish (preferred, not required).
  • Experience in a detention or correctional or residential healthcare setting (preferred, not required).
  • Proficiency in Spanish is preferred.

Responsibilities

  • Utilize and support an Office of the National Coordinator for Health Information Technology certified Electronic Health Record system for patient encounters and medical record management.
  • Maintain the Electronic Health Record environment in a manner that supports required interoperability, including connectivity to required government interfaces and transmission of medical record information in the required format.
  • Maintain external Electronic Health Record interfaces in coordination with external medical support organizations and support continuity of system connectivity.
  • Ensure the Electronic Health Record system provides remote access, required accounts, and data accessibility for authorized government health authority personnel and other authorized users.
  • Ensure all users receive initial and ongoing training on how to use the EHR
  • Serve, as assigned, as a primary or secondary point of contact for Electronic Health Record data requests, reporting requests, required queries, and system access coordination.
  • Create and maintain a separate patient medical record, apart from any social record or case file, and ensure records are complete, accurate, current, and readily accessible for authorized use.
  • Maintain patient records in a secure environment and in accordance with required retention, storage, confidentiality, and records-lifecycle controls.
  • Process and support lawful medical record disclosures and requests in compliance with the Health Insurance Portability and Accountability Act, Confidentiality of Substance Use Disorder Patient Records requirements, and other applicable federal and state requirements.
  • Respond within required timeframes to authorized requests for reporting, documentation, medical information, and other data required for audits, inspections, complaint investigations, litigation, congressional inquiries, and other official actions.
  • Support patient transfer and continuity-of-care workflows by ensuring that required medical records, transfer summaries, medications information, precautions, and related documentation are complete and transmitted in the required manner.
  • Support health record workflow requirements tied to patient intake, daily tracking of requests for health care, and required documentation within the health record.
  • Support Electronic Health Record configuration or workflow requirements that add required data fields, prompts, and tracking elements for screening, assessment, and follow-up processes when directed by the contract or applicable policy.
  • Ensure Electronic Health Record solutions and related services comply with applicable information-security, privacy, accessibility, and architecture requirements, including encryption, cloud environment, and government certification requirements.
  • Protect sensitive information by restricting access to authorized personnel only, documenting unauthorized access or attempted access, and reporting security incidents within required timeframes.
  • Support records-management obligations by following approved retention schedules, preventing unauthorized destruction or removal of records, and supporting required records plans and return of records at contract closeout.
  • Support language access for patient-facing record and communication processes through professional in-person, telephonic, or video interpretation and translation services, bilingual personnel, or other contract-permitted methods.
  • Complete required information-technology security, cybersecurity awareness, unauthorized disclosure, emergency response, cardiopulmonary resuscitation, and basic first aid training applicable to the position.
  • Maintain professional coordination with health services leadership, information technology, security, external medical support organizations, and authorized government representatives.
  • Complete required organizational compliance education, including assigned requirements that are client-specified, for Joint Commission Healthcare Staffing Services certification or other regulatory bodies.
