About the position

Reinhardt University is currently accepting applications for an Events and Marketing Manager for Admissions. The Admission’s Events and Marketing Manager is a critical member of the Admissions staff and reports directly to the Director of Admissions. The Office of Admissions is a very fast-paced, high-energy environment that strives to meet the demands of a dynamic, growing institution and an ever-changing environment. The Admission’s Events and Marketing Manager must be creative, service-minded and focused on providing engaging and memorable experiences for Reinhardt’s guests. Primary responsibilities include coordinating and managing all aspects of campus visits (in-person, on- and off-campus, and virtual) and Admission events, including highly visible open houses (Experience Reinhardt), scholarship signature events, and collaborative events with other University departments. Responsibilities also include creating promotional marketing materials for events as well as additional materials that may also be needed by the admission’s team. The position is also responsible for selection, training, and ongoing supervision of the Reinhardt Captains/Student Ambassadors. The person in this role professionally represents the University and the Office of Admissions to internal and external constituencies, and assists with admissions counseling as needed, to support the overall work of the office. Due to the nature of the work, weekend and evening hours are required beyond normal work hours.

Responsibilities

  • Plan and coordinate all aspects of admission events, including schedule development, facilities-use requests, developing and maintaining packet materials, communications to registrants, social media posts regarding event follow up.
  • Responsible for marketing, campaigns, enrollment and attendance goals for each event with weekly reporting on all events with director and counselors.
  • Collaborate with Reinhardt community to execute events/tours, including, marketing for registration and banners; dining services on menu selection and headcounts; faculty and academic deans on sessions and information event/meeting coverage; student life on session and information event coverage; performing arts and marketing staffs on sound, video, photos, recordings; and facilities and public safety.
  • Direct and manage the work of the Reinhardt Captains, including recruitment, selection, training, scholarships, and incentives.
  • Provide exceptional customer service to prospective students, campus visitors and inquiries.
  • Create annual event and tour schedules/calendars for publication, and communicate to appropriate constituents using respective venues (website, personal invitations, email communications, etc.).
  • Align Admission events with other institutional events and activities occurring on campus and/or virtually to showcase the Reinhardt Experience, where appropriate.
  • Ensure tour/visit materials including pre-tour informational videos, personalized maps, and 'next steps' documents are current and available for all guests.
  • Coordinate details for customized weekday/weekend and virtual tours including welcome signs, personalized maps, pre-tour information sessions, photo galleries, and post-tour wrap-ups.
  • Schedule faculty, staff and coach appointments as well as classroom visits for prospective students and their families/guests for individual and group events as needed.
  • Lead tours when needed and work with university staff on tour route and script for events.
  • Secure show rooms each semester with the Office of Student Affairs. Ensure that show rooms are decorated and maintained through weekly visits to rooms and arrange for host incentives.
  • Walk the on-campus tour route each week to check for cleanliness and identify maintenance needs. Coordinate monthly review with appropriate staff, including Public Safety, Facilities.
  • Develop training materials for Reinhardt Captains and Admissions Counselors regarding campus events, tours and visit programs.
  • Plan, coordinate and execute off-campus special events.
  • Schedule Scholarship interviews and related student/faculty meetings and events as they relate to student selection processes.
  • Build JRM events; manage and maintain JRM events, including attendance reports to counselors.
  • Provide weekly data, reports and analyses on events and tours to inform decision-making.
  • Maintain a working knowledge of best practices for university admission events and tours.
  • Serve on institutional committees to represent the Office of Admissions and specific role within the department.

Requirements

  • A bachelor’s degree from a regionally accredited institution is preferred, background and experience with event management can be considered.
  • A minimum of 2 years of work in higher education admissions, hospitality management, marketing, and customer service.
  • Demonstrated familiarity, knowledge and proficiency with admissions technologies and platforms including meeting management software, Microsoft Teams, Zoom and other virtual meeting platforms, database management, JRM, Salesforce, Microsoft Outlook, Word, Excel, InDesign, Photoshop, Canva, Illustrator, and other platforms that could be related to the role.
  • Successful completion of a background check.
  • A valid driver’s license and safe driving practices: travel expenses for approved business-related travel are provided but must have reliable means of transportation.
