The Executive Administrative Assistant is responsible for assisting with day-to-day/administrative duties for the hospital.
Responsibilities
Track and assist with in processing and out-processing personnel (PCS and TDY).
File and retrieve documents and reference materials.
Collect data and prepare reports and documents.
Arrange and co-ordinate meetings and events.
Record, transcribe and distribute minutes of meetings.
Monitor, screen, respond to and distribute incoming communications.
Answer and manage incoming calls.
Receive and interact with incoming visitors.
Liaise with internal staff at all levels, while maintaining confidentiality.
Track and report facility and environmental issues.
Manage office inventory and equipment by performing consistent stock checks, anticipating needed supplies, placing orders for supplies.
Schedule maintenance for equipment service and repairs as needed.
Actively participate in day-to-day office activities, including a variety of meetings and task force groups to improve procedural processes, obtain approvals, and remain abreast of new developments and policy requirements.
Actively participate in Mass Casualty exercises and events.
Complete required organizational compliance education, including assigned requirements that are client-specified, for Joint Commission Healthcare Staffing Services certification or other regulatory bodies.
Undertake additional duties that are not specifically listed above.
Requirements
Three (3) years’ experience providing administrative support.
Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite.
Knowledge of standard office administrative practices and procedures.
Current American Heart Association Basic Life Support (BLS) certification.
Associate's degree from an accredited community college in Business, or similar discipline.
