About the position

The Executive Assistant II at AdventHealth Home Health plays a crucial role in supporting leaders by managing their calendars, travel arrangements, and correspondence. This position requires a professional representation of the leaders in all associated responsibilities and involves supporting campus events such as Town hall meetings, recognition events, and holiday receptions. The role emphasizes outstanding customer service and maintaining respectful relationships with all stakeholders.

Responsibilities

  • Supports Leader(s) as direct executive assistant.
  • Manages calendar for Leader(s), scheduling meetings and appointments.
  • Coordinates travel arrangements including lodging, air/land transportation, and event registration.
  • Answers/screens incoming calls, takes messages, and routes calls appropriately.
  • Greets and assists visitors, representing Leader(s) and AdventHealth professionally.
  • Provides administrative and secretarial support including managing incoming/outgoing mail.
  • Completes correspondence duties including composing and editing letters and memos.
  • Prepares expense reports, PAVs, and supply orders.
  • Prepares and updates PowerPoint presentations and Excel spreadsheets.
  • Maintains files, records, and equipment.

Requirements

  • Associate in secretarial science or business.
  • Two years of executive office/secretarial work experience.
  • 2+ years minimum experience as an administrative or executive assistant, secretary, or in a higher-level administrative/office support role.

Nice-to-haves

  • 2+ years of event planning/coordination experience.
  • 2+ years of Executive Assistant experience.
  • 2+ years of managing executive calendars in the C-Suite.
  • Experience with Excel, PowerPoint, and Outlook.
