About the position

Foundation Source is seeking a meticulous and dependable Financial Administrator to support our Gift Administration Services team and company-wide accounts receivable operations. This role is essential in maintaining financial accuracy, ensuring timely transactions, and supporting smooth treasury functions. Responsibilities

  • Accurately process check payments, stop payments, and voids for client accounts.
  • Confirm timely and precise distribution of Gift Administration payments.
  • Monitor client accounts for delayed payments or discrepancies; investigate and resolve irregularities with care and diligence.
  • Upload ACH and wire payments through secure online banking platforms.
  • Prepare and submit positive pay files to the bank to safeguard against fraud.
  • Communicate with clients professionally via phone, email, or mail to provide updates or request information.
  • Maintain proficiency in financial administration systems (SmartPayables, CashPro, Kleopatra, FileZilla, and Sugar), and support cross-training initiatives within the team.
  • Participate in special projects as assigned, contributing reliable and detail-focused support.
  • Maintain a defined portfolio of Endowment Sub-Accounting (ESA) clients with consistent, thoughtful attention to detail.
  • Analyze client financial statements to extract fund-level data on gains, losses, and distributions.
  • Reconcile and enter financial data into endowment software to generate precise monthly and quarterly reports.
  • Deliver client reports on time, aligned with service agreements and internal quality standards.
  • Respond to client inquiries or route them to the appropriate expert when needed, ensuring a seamless client experience.
  • Serve as a reliable backup for ESA team members during planned absences, supporting continuity of service.
  • Share insights with clients about other PG Calc services that may support their goals.

Requirements

  • Meticulous, accuracy-first mindset—you naturally double-check and reconcile before moving on.
  • 2–3 years hands-on experience in accounts receivable, treasury, or similar cash-movement role.
  • Working knowledge of GAAP and fund reconciliation sufficient to spot anomalies quickly.
  • Advanced Excel skills (pivot tables, lookups) and comfort navigating online banking portals.
  • Process discipline + continuous-improvement lens—you respect established controls yet suggest smart refinements.
  • Clear, steady communication style with clients and peers; you stay calm under tight deadlines.
  • Dependable team orientation—others can rely on you to hit cut-offs and share knowledge.
  • CRM familiarity (Sugar or Salesforce) to log notes and retrieve account data (nice to have).
  • Bachelor’s in Accounting, Finance, or Business or 5+ years equivalent professional experience.
  • Ability to work on-site two days per week in our Cambridge, MA office.
