About the position

The Marketing Engagement Specialist helps manage the operational and strategic execution of marketing communications projects led by University Communications on behalf of the university, including institutional- and unit-level brand positioning, marketing, advertising, promotional, and engagement campaigns. The position works closely with the AVP for Marketing and Digital Engagement to help manage the engagement processes with University Communications colleagues, campus communications partners, and vendors. The position also collaborates closely with the AVP and colleagues in University Communications and across campus to ensure the execution and success of projects that support overall brand awareness and key business functions.

Responsibilities

  • Co-manage the day-to-day operations and engagement with partners and units across campus to help plan and execute strategic project work
  • Plan, schedule, and provide resources for meetings, strategy sessions, and other engagements
  • Partner with the AVP in managing meeting planning, execution, and documentation
  • Draft, review, and refine strategy documents, discussion guides, and other materials
  • Manage project processes and logistics effectively and efficiently, including determining appropriate next steps, decision-making paths, escalation points, etc.
  • Assist with managing vendors, contracts, invoices/billing, etc.
  • Help manage website content for select projects/campaigns
  • Ensure the quality of deliverables through fact-checking, proofreading, other related functions
  • Analyze and interpret conversations with campus partners and translate those conversations into creative brief documents that help define and guide strategic projects
  • Review client-provided materials and deliverables for accuracy, relevancy, and adherence to brand and editorial guidelines
  • Partner with the Associate Director of Marketing to ensure the brand positioning, messaging, and content deriving from projects with campus collaborators is highly aligned with the university’s strategic priorities, Message Framework, and brand language guidelines
  • Partner with the Marketing Operations Manager and other UC Creative Services colleagues to collaborate on, co-manage, and/or hand off project work as appropriate to advance to the creative execution phase and ensure all projects adhere to visual and design guidelines
  • Leverage digital analytics and insights tools to pull and provide data reporting and other insights to inform the team’s work
  • Provide research support for projects
  • Manage sensitive materials and information with discretion
  • Other duties as assigned

Requirements

  • Excellent organizational skills and attention to detail

  • Strong competency in current software tools and applications (including OS and Windows environments, Microsoft Suite, project management systems, web/digital/social content platforms, etc.)
  • Proven ability to exercise discretion and independent judgment
  • Proven ability to handle multiple tasks simultaneously, coupled with the ability to set and recommend priorities
  • Proven ability to work independently as well as within a group setting
  • Proven ability to assimilate information to create effective notes, project briefs, reports, and other documentation
  • Experience serving in a project-management role
  • Experience with the principles of marketing communications
  • Demonstrated ability to think strategically and creatively
  • Demonstrated experience capturing and using data analytics and market research to create reports
  • Demonstrated ability to provide and receive constructive criticism in a productive manner
  • Demonstrated ability to work effectively with people at all levels of the organization
