We’re looking for a highly motivated, organized, and ambitious team player to join our organization as Marketing Operations Manager, reporting to Bloom’s Chief Marketing Officer. This is an ideal opportunity for someone who is looking to build a strong foundation in marketing, operations, and executive leadership support. This role provides a path to grow into more advanced roles across the marketing organization. This role will report to Chief Marketing Officer and based in San Jose, CA. You’ll gain exposure to senior leadership, complex business challenges, and the inner workings of a global marketing team. You'll work side-by-side with the CMO and leadership team, driving critical projects and supporting operational excellence. This role is perfect for someone with outstanding organizational skills and the hustle to dig in and keep things moving in a fast-paced environment.

Responsibilities

  • Partner with the CMO and marketing leadership team to help organize and track key priorities and projects.
  • Support the planning and coordination of leadership meetings, offsites, and marketing-led corporate events.
  • Own the logistics and preparation of meeting materials, agendas, notes, and follow-ups to keep our leadership team aligned and accountable.
  • Help drive action on department-wide initiatives by keeping cross-functional projects on track and identifying roadblocks.
  • Provide general problem-solving support and 'connect the dots' across projects and teams.
  • Support development of presentations and board materials.
  • Proactively manage the CMO’s calendar, ensuring time is prioritized effectively across strategic work, internal meetings, customer engagements, and external events.
  • Coordinate complex scheduling needs across time zones and with both internal and external stakeholders.
  • Handle expense management for the CMO, including preparing and submitting expense reports and ensuring adherence to company policies.
  • Oversee approval of team expenses.
  • Provide general administrative support to the CMO as needed, such as coordinating travel, managing event registrations, and handling confidential information with discretion.
  • Serve as a liaison between the CMO and other senior executives, keeping communication flowing and priorities on track.
  • Provide ad hoc support to marketing team members for complex travel and interdepartmental or external meetings.
  • Manage marketing budget operations, working closely with finance and operations teams to track spend, manage purchase orders (POs), and process invoices.
  • Monitor budget health by reconciling actuals against plan and identifying any risks or opportunities related to spend.
  • Help ensure financial processes are followed accurately and efficiently, flagging any discrepancies and working with partners to resolve issues.
  • Support regular budget reporting and forecasting activities to help the marketing team stay on track and accountable.
  • Track and summarize key metrics and milestones for the marketing team.
  • Produce monthly reporting on OKRs and marketing scorecard.
  • Coordinate weekly Marketing update reporting.
  • Draft internal communications, leadership updates, and presentations in partnership with the CMO and executive communications team.
  • Help ensure the marketing team stays informed and connected through regular updates and meeting recaps.
  • Support coordination across departments (like Sales, Product, and Customer Success) to keep marketing in sync with the broader business.
  • Support HR/people management processes.
  • Organize team-building events, recognition programs, and development opportunities.
  • Act as a culture ambassador for the marketing team, gathering feedback and helping implement programs that make this a great place to work.

Requirements

  • Minimum 7 years professional experience in a fast-paced environment (roles in marketing, business operations, executive support, project management, or related areas are ideal).
  • Track record of managing complex calendars and schedules for senior executives.
  • Experience with expense reporting, travel coordination, and other administrative activities.
  • Experience with budget tracking, purchase order (PO) management, and invoice processing is a plus (or a strong willingness to learn).
  • Proven strong organizational skills with exceptional attention to detail—you’re able to manage multiple projects and deadlines without letting anything slip.
  • Excellent verbal and written communication skills, with the ability to draft clear, concise emails, presentations, and updates.
  • High level of discretion and professionalism when handling sensitive information.
  • Strong proficiency in Microsoft Office (PowerPoint, Excel, Word).
  • Enthusiasm for AI tools.
  • Bachelor’s degree preferred (business, marketing, communications, or related field), but equivalent experience is also valued.
