About the position

Open position in all True Media office locations, including St. Louis, MO, Kansas City, MO, Columbia, MO, and Minneapolis, MN; hybrid work schedule: 3 days in the office, 2 days working from home. A Project Manager works on a portfolio of clients to build and manage client/project scopes, timelines, resources, and communication. They have an in-depth understanding of agency processes and roles. The Project Manager is proactive, strategic, organized, and exhibits exceptional communication and interpersonal skills. The Project Manager is an effective problem solver and assesses potential risks and opportunities. They are responsible for building strong internal working relationships, as well as assisting the client strategists in building strong client relationships. The focus is on continual improvement, reliability, and accountability.

Responsibilities

  • Develop and manage statements of work that meet client needs, outline the agency’s services and compensation, and minimize the agency’s risk.
  • Monitor account activity against the statement of work and alert the internal team about out of scope activity, managing scope changes as needed.
  • Develop hours estimates and manage those estimates through a collaborative process with the account team.
  • Pull hours reports and update tracking sheets on a routine basis.
  • Facilitate discussions and adjustments concerning time allocations with team members as needed.
  • Manage application and billing status of the account time.
  • Understand client organizational needs to facilitate client setup in Advantage.
  • Responsible for the setup and closing of job numbers, campaign codes, and media plans in Advantage.
  • Manage the organization and consistent naming of files on the server, Google drive, and other storage locations.
  • Develop and document campaign timelines collaboratively with account teams.
  • Provide communication to team members and clients about timelines and tasks, ensuring deadlines are met.
  • Track timelines and tasks in project management software.
  • Develop media authorizations and ensure campaign spends align with them through regular report checks.
  • Build fee sheets for billing and ensure accurate and timely client invoicing.
  • Facilitate reconciliation completion within a 60-day window of campaign completion.
  • Schedule client and internal team meetings, manage agendas, and record meeting notes and action items.
  • Share note recaps and action items with the internal team, client, and agency partners.
  • Lead internal status meetings and participate in client status meetings as needed.
  • Facilitate adherence of the account team to agency roles and processes.
  • Proactively facilitate internal account communication, including resolution of issues.

Requirements

  • Prior work experience in a Project Management/Coordinator or Account Manager/Coordinator role in a marketing or agency setting or equivalent duties.
  • 2-4 years equivalent experience in marketing or advertising positions including internship experience.
  • Proven ability to think strategically, use critical thinking, and demonstrate excellent problem-solving skills.
  • Proficient with industry tools and systems.
  • Proficient with Microsoft and Google tools.
  • Strong understanding of media fundamentals including media math.
  • Successfully complete Google Analytics Beginner coursework within six months in position, then renew yearly.

Nice-to-haves

  • Bachelor's degree from a four-year college or university, degree or concentration in advertising, marketing or communications preferred; or one to two years related experience and/or training; or equivalent combination of education and experience.
