About the position

The Proposal Coordinator supports and fulfills marketing as it relates to project pursuit initiatives at Leopardo. This role partners with Leopardo’s full-service and integrated in-house marketing department to win work for the company. The Proposal Coordinator collaborates with other company stakeholders to accomplish project pursuit initiatives and will facilitate the proposal and presentation process.

Responsibilities

  • Support companywide project pursuit function, including RFP/Q responses, presentations, and other deliverables
  • Coordinate with project team to collect information, answer all proposal questions and meet strict deadline
  • Track incoming requests for materials and adjust workplan accordingly to adhere to all deadlines
  • Analyze monthly reports to identify relevant project information to include in pursuits
  • Create new case studies, resumes, and other proposal content as needed
  • Maintain existing library of project case studies, resumes and other proposal content updating as needed
  • Proactively identify the need for new proposal materials
  • Collaborate with Proposal Manager and Marketing Designer to create new content
  • Archive new content into Boilerplate and alert new teams members to its availability
  • Maintain and update marketing activity report with all RFP/RFQ responses, presentations and other tracked items
  • Maintain databases used for tracking project and company key fact and figures
  • Support and strengthen overall qualifications process for new and existing client and project pursuits
  • Analyze competitor materials and proactively suggest ways to enhance Leopardo’s pursuit materials

Requirements

  • Bachelor’s degree in a related field (e.g., Marketing, Communications, English) or equivalent training and experience preferred
  • Minimum of two years of experience in marketing, AEC, CRE or professional services industry experience required
  • Familiarity with Ariba, Coupa, Trimble, OpenGov, Workday, and other online RFP submission platforms a plus
  • Experience reading and analyzing RFP/Qs required
  • Expertise in Adobe CS InDesign required (e.g., Photoshop and/or Illustrator a plus)
  • Proficiency in MS Office Suite required
  • Writing skills and strong grasp of basic grammar and punctuation is a must
  • Excellent copywriting/editing skills and attention to detail
  • Critical reading and thinking skills; Must have the ability to translate technical details into a strong, cohesive, storytelling-style narrative
  • Strong organizational, prioritization, problem-solving, multi-tasking and decision-making skills
  • Ability to manage multiple competing priorities and remain calm under pressure
  • Team player who is comfortable collaborating with a variety of company stakeholders
