About the position

Uber Freight is looking for experienced professionals for the department of Real Estate and Workplace with a background in customer service, facilities and receptionist field. Our specialist will act as main point of contact for visitor and vendors, providing an overall welcoming environment all while providing excellent customer service to our customers trough to offer a safety place to them.

Responsibilities

  • Accompany new temporary warehouse employees through their onboarding process, including badge creation, access setup, and introduction to their work team.
  • Ensure the quality of internal customer services offered, maintaining acceptable response times.
  • Greet visitors and deliver exceptional customer service assistance.
  • Promote safety protocols at all times.
  • Perform ad hoc administrative duties as needed, keeping confidentiality at all times and with all information.
  • Maintain the reception area and all common areas in a clean and tidy manner at all times.
  • Keep detailed and accurate records of visitor requests, including those handled by the building receptionist.
  • Receive, sort, and distribute deliveries.
  • Take inventory of supplies, restock as needed, and maintain the general office filing system.
  • Maintain and promote safety protocols among vendors, visitors, and employees.
  • Manage the relationship with the cleaning vendor.
  • Coordinate and support events, meetings, and audits as needed.
  • Manage meeting rooms to ensure compliance with the internal workspace use policy.
  • Conduct monthly safety walkthroughs to identify areas that require maintenance and follow up with the procurement team to receive the vendor and ensure the reported issues are resolved.
  • Administer staffing processes, including validating invoices against leader-approved requisitions and creating contractor profiles in UKG.

Requirements

  • 1+ years of experience as a receptionist or office management.
  • Demonstrated expertise in customer service and administrative process.
  • Advanced Spanish and English written, oral, and presentation communication skills.

Nice-to-haves

  • Service orientation.
  • Bachelor’s degree in business or administration, preferred.
  • Professional Expertise - Expertise and knowledge required to be effective in position; may include knowledge of theory or practices within the office reception/ and Microsoft Lync Attendant function.
  • Microsoft Excel— knowledge of Microsoft Excel including but not limited to VLookup, Pivot Tables and advanced formulas.
