About The Position

The Academic Program Specialist (APS) provides specialized administrative support for the Judy Genshaft Honors College. This position is responsible for coordinating Honors student records and serves as the primary point of contact for students regarding form processing. The APS manages and maintains accurate academic records for students within the Honors college, ensuring compliance with institutional policies and federal laws such as FERPA. Additionally, this role specifically monitors students' progress toward achieving specialized honors designations. Provides a list of Honors graduates each term to the Commencement and Registrar offices. This position will report to the Associate Director and collaborate closely with departmental IT, marketing and academic advising staff. The APS performs a variety of specialized administrative tasks related to program implementation under general supervision. This role may include assigning work to or supervising student or temporary (OPS) employees. Employees in this position are expected to conduct inquiries and queries and generate standard reports from university systems such as OASIS, Power BI, and Oracle. They must also be proficient in creating documents using work processing and spreadsheet software.

Requirements

  • This position requires a high school diploma or equivalent, with four years of experience in office or administrative positions.
  • Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

Responsibilities

  • Coordinate and maintain accurate Honors student academic records in compliance with university policies and federal regulations, including FERPA.
  • Serve as the primary point of contact for Honors students regarding academic forms, record updates, and records-related inquiries.
  • Process, track, and verify Honors-related forms, ensuring timely completion and proper documentation.
  • Monitor and document student progress toward Honors requirements and specialized Honors designations.
  • Compile and provide official lists of Honors graduates each term to the Registrar and Commencement offices.
  • Conduct data inquiries, queries, and generate standard and ad hoc reports using university systems such as OASIS, Power BI, and oracle.
  • Analyze student data to support academic program implementation, tracking, and compliance reporting.
  • Partner with departmental IT and marketing teams to ensure accurate data usage, reporting, and communications.
  • Prepare and maintain program documentation, spreadsheets, and correspondence using word processing and spreadsheet software.
