About The Position

As a Partner in Wellbeing, the Access Supervisor is responsible for ensuring the department meets clients and organizational expectations for a positive and impactful client experience. This position supervises the day-to-day access operations and staff responsible for adherence to standardized processes, scheduling, data collection, and client intake processes. The access supervisor is responsible for identifying quality and workflow improvement opportunities and leading or participating in the development of procedures and standard daily work for the team. This position must demonstrate excellent communication skills and attitude to ensure effective communication and coordination between Clinical, Compliance, and Revenue Cycle teams to ensure efficient and effective operations.

Requirements

  • High school diploma or equivalent; Two- year associate degree or equivalent experience preferred.
  • 2+ years of proven experience in healthcare customer service or a relevant position, including 2+ years of supervisory experience.
  • Must pass a criminal background check through MN DHS NetStudy.
  • Access to a personal vehicle and the ability and willingness to use the vehicle in carrying out position responsibilities.
  • Valid driver’s license and insurable under the agency’s automobile insurance policy.
  • Free from substance use problems for a period of no less than 2 years.

Responsibilities

  • Acts as working supervisor; participates in the day-to-day access operations of the Access team.
  • Provides direction, support, and oversight of day-to-day operations, ensuring client-centered care in alignment with the agency’s mission and values.
  • Ensures that systems, processes, and procedures adhere to company policies while functioning with accuracy and timeliness.
  • Manages continuous improvement initiatives for areas of responsibility and ensures compliance.
  • Develops and ensures procedures and daily work are standardized to generate efficient and consistent work practices.
  • Monitors the accuracy of scheduling functions like backfill, waitlist, adherence to clinical templates, etc.
  • Monitors the accuracy of the data entry of demographic and insurance information.
  • Reviews, monitors, and ensures consistent compliance with insurance, services, and authorizations.
  • Ensures that team members supervised are compliant with agency policy, procedure, and standards.
  • Communicates agency and department information effectively, ensuring that consistent messages are shared with team members in a timely manner.
  • Navigates the EHR with ease to access and retrieve information from the client record.
  • Completes quality monitoring through call review and observation of client interactions.
  • Plans, prepares, and develops work schedules.
  • Utilizes supervisory tools/reports to evaluate assigned team members in a timely manner; addresses any deficiencies in staff performance.
  • Has a good understanding of the systems and technologies used to assist in streamlining and maximizing efficiency of use.
  • Oversees multiple sites, including the delivery of virtual services.
  • Collaborates on hiring, terminating, and making pay recommendations.
  • Develop and manage assigned budgets and develop action plans for budget variances.
  • Performs additional duties as assigned or requested.
