About The Position

The Caswood Group is a contract sales organization and medical staffing company based out of Fairport New York. Caswood has been in business since 1996 and works with clients in the pharmaceutical and healthcare industry. We are looking for a part-time accountant to work as a Finance & Payroll Administration Manager. Responsibilities are day to day operations of the Finance Department, including payroll and benefits administration, financial reporting and reconciliation of asset accounts as required. Oversight includes all accounting operations, analyzing financial data, monitoring expenditures, forecasting revenue and ensuring accuracy of financial information. This position is on-site at our Fairport Home Office and PART-TIME, 25 hours a week.

Requirements

  • Excellent written and verbal communication skills.
  • Excellent organizational and time management skills.
  • Proficient in accounting (QuickBooks) and payroll (ADP) software.
  • Proficient in Microsoft Office Suite (including Excel).
  • Bachelor’s degree in Accounting or Business Administration required.
  • Five years or more of related experience required.

Responsibilities

  • Implements, maintains and reviews bi-weekly payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes and other deductions.
  • Ensures accurate and timely processing of payroll updates including new hires, terminations and changes to pay rates.
  • Prepares and maintains accurate records and reports of payroll transactions.
  • Ensures compliance with federal, state and local payroll, wage, and hour laws and best practices.
  • Identifies and recommends updates to payroll processing software, systems and procedures.
  • Maintains a documented system of accounting policies and procedures; implements a system of controls over accounting transactions to minimize risk. Maintains and updates the chart of accounts as required. Ensures timely production of monthly bank reconciliations and journal entries.
  • Produce monthly and yearly financial reports; ensures that the reported results comply with generally accepted accounting principles.
  • Produce weekly, monthly and yearly forecasts.
  • Ensures timely invoicing of client and/or government contracts.
  • Supports the accounting team with leadership that creates an environment of trust and productivity.
  • Produces the annual budget and forecasts; reports significant budget differences to management.
  • Ensures compliance with local, state, and federal government requirements.
  • Develops and enforces internal controls to maximize protection of company assets, policies, procedures and workflow.
  • Ensures timely close of fiscal year, coordinates with tax accountant to provide information required to file Corporate Tax Returns.
  • Provides assistance with client contracts and performs other related duties as necessary or assigned.
  • Administer employee benefit programs including enrollments and terminations.
  • Coordinates and assists with the new employee on boarding process and presents benefits presentations to ensure employees gain an understanding of benefit plans and enrollment provisions.
  • Fulfills all governmental regulatory mandates and ensures filings are performed as required.
  • Plans and administers annual open enrollment period. This includes preparation (or revision) and distribution of materials, conducting meetings to communicate changes to employees, arranging for on-site representation by providers, and processing changes within deadlines.
