Requirements

• 3+ years of experience in bookkeeping, AP/AR or accounting, and office administration.
• Proficiency in Sage Accounting and Microsoft Office Suite.
• Excellent attention to detail, organization, and time management skills.
• Ability to handle confidential information with integrity and discretion.

Nice To Haves

• Experience with multi-entity accounting
• Familiarity with business management systems and online payment portals.
• Strong analytical skills and ability to generate clear, actionable financial reports.

Responsibilities

• Process vendor invoices and customer payments with proper coding and cost allocation.
• Match purchase orders and packing slips to invoices before entry into Sage Accounting.
• Manage payments by check, online, or credit card, ensuring accuracy and timeliness.
• Reconcile customer accounts and follow up on outstanding balances.
• Balance vendor statements and resolve discrepancies as needed.
• Record deposits, transfers, and online payments in Sage.
• Perform monthly bank and credit card reconciliations and maintain supporting documentation.
• Maintain accurate records for multiple business entities.
• Prepare weekly and monthly financial summaries for management review.
• Assist with sales tax filings, insurance audits, and other financial documentation.
• Support continuous improvement of financial processes and efficiency.
• Maintain organized digital and paper filing systems for financial records.
• Order office supplies and provide general administrative support.
• Answer occasional customer calls and emails in a professional manner.
