About The Position

We are seeking a detail-oriented and dependable Accounting Clerk to support the Museum’s daily accounting operations. This position is responsible for managing accounts payable and accounts receivable functions, maintaining accurate financial records, and supporting month-end processes using NetSuite ERP. The ideal candidate thrives in a collaborative, nonprofit environment and demonstrates strong attention to detail, organization, and integrity.

Requirements

  • High school diploma required; Associate’s or Bachelor’s degree in Accounting or related field preferred
  • 1–3 years of experience in AP/AR or general accounting
  • Experience using NetSuite ERP preferred
  • Proficiency in Microsoft Excel
  • Strong attention to detail and accuracy
  • Excellent organizational and time-management skills
  • Ability to maintain confidentiality
  • Experience in a nonprofit organization preferred

  • Experience with event or grant-based revenue tracking

Responsibilities

  • Process vendor invoices accurately in NetSuite
  • Match purchase orders, approvals, and supporting documentation
  • Verify that grant expenses are properly allocated to the correct account in NetSuite
  • Prepare and process check runs, ACH, and electronic payments
  • Maintain vendor files, W-9s, and payment records
  • Reconcile vendor statements and resolve discrepancies
  • Assist with month-end closing and accruals
  • Generate invoices for fundraising events, sponsorships, and facility rentals
  • Record and apply payments (cash, checks, credit cards, online transactions) in NetSuite
  • Record and reconcile new pledges, pledge receivables, and in‑kind donations
  • Monitor aging reports and follow up on outstanding balances
  • Reconcile customer accounts and investigate billing issues
  • Support daily cash reconciliation and deposits
  • Assist with bank and credit card reconciliations
  • Maintain organized financial documentation for audit readiness
  • Support annual audit preparation and reporting requirements
  • Collaborate with development and operations teams on revenue tracking
  • Perform other accounting duties as assigned
  • Experience in processing 1099s preferred
