About The Position

The Accounts Payable Supervisor oversees the daily operations of the accounts payable (AP) function, ensuring timely, accurate, and compliant processing of vendor invoices, payments, expense reports, and month‑end close activities. This role supervises AP staff, maintains strong internal controls, collaborates with cross‑functional teams, and drives process improvements to support organizational efficiency and financial accuracy.

  • 4-6 years of progressive accounting or billing experience
  • 1-3 years of supervisory experience
  • Experience with ERP or billing systems (e.g., SAP, Oracle, Sage)

Responsibilities

  • ACCOUNTS PAYABLE OPERATIONS
  • Oversee end‑to‑end AP processes including invoice intake, coding, approvals, and payment execution.
  • Review high‑value, complex, or exception‑based invoices for accuracy and proper documentation.
  • Review and enter company credit card transaction activity.
  • Ensure compliance with company policies, GAAP standards, tax requirements, and contractual terms.
  • Manage vendor payment cycles, check runs, ACH/EDI payments, and credit card programs.
  • Maintain accurate AP aging reports, resolve outstanding issues, and support cash‑flow planning.
  • Oversee vendor onboarding, W‑9 collection, and 1099 year‑end reporting.
  • Team Leadership & Management
  • Supervise AP specialists/clerks, providing coaching, training, and ongoing development.
  • Assign daily workload and monitor productivity, ensuring SLAs and deadlines are met.
  • Conduct performance reviews and establish continuous improvement goals for the team.
  • Foster a collaborative and service‑oriented work environment.
  • Controls, Compliance & Process Improvement
  • Maintain and enhance internal controls related to AP approvals, documentation, and payment integrity.
  • Identify and implement process improvements, automation opportunities, and efficiency enhancements.
  • Partner with IT/Finance to optimize ERP systems and AP automation tools.
  • Cross‑Functional Collaboration
  • Collaborate with Procurement, Finance, Accounting, and Operations to resolve invoice discrepancies.
  • Support month‑end close activities including accruals, reconciliations, and AP reporting.
  • Provide timely responses to vendor inquiries and internal stakeholders.
  • Reporting & Audit Support
  • Prepare AP metrics, dashboards, and management reports.
  • Support internal and external audits by providing documentation, reconciliations, and process explanations.
  • Maintain detailed SOPs and ensure processes remain current and compliant.
