About The Position

About the Role Diamond Braces is a rapidly growing, multi-location healthcare organization with over multi locations. We operate in a multi-entity structure multiple tax ids and are seeking a highly disciplined Accounts Payable professional to build structure, enforce controls, and protect cash flow. This is not a basic data-entry role. We need someone who understands multi-location environments, credit card controls, vendor governance, and intercompany reconciliation inside QuickBooks Online. This role will report directly to executive leadership and play a key role in stabilizing and professionalizing the Accounts Payable function.

Requirements

• 5+ years Accounts Payable experience
• Experience in multi-location or multi-entity environment
• Strong QuickBooks Online experience (required)
• Experience managing high transaction volume
• Experience implementing approval workflows and AP controls
• Strong reconciliation skills (bank, credit card, intercompany)
• Advanced Excel skills

Responsibilities

• Own full-cycle Accounts Payable across 70+ locations
• Manage vendor onboarding, W-9 collection, and 1099 compliance
• Implement and enforce bill approval workflows
• Control and monitor 30+ company credit cards
• Reconcile bank and credit card accounts monthly
• Maintain clean vendor master file and prevent duplicate payments
• Support monthly close with strict deadlines (target: 5–7 business days)
• Reconcile intercompany transactions across 16+ entities
• Partner with leadership to prevent fraud, waste, and abuse
• Assist with internal and external audits
• Build SOPs for AP processing and controls
