About The Position

The Barbara and Richard Csomay Center for Gerontological Excellence (Csomay Center) at the College of Nursing seeks a 70-100%25 time Administrative and Communications Coordinator. Position is a 12-month specified term, with the potential for extension pending funding availability. This position will serve the Csomay Center by providing a wide range of operational, administrative, and communications support duties. This position requires an individual who is self-directed and is able to develop and maintain positive working relationships.

Requirements

  • Bachelor's degree or an equivalent combination of education and experience.
  • Typically, six months or more of professional administrative/office experience including working in a public contact setting which includes in-person, email, and phone contact.
  • Typically, one or more years of experience in marketing and communications.
  • Proficiency in Microsoft Office, including Excel, PowerPoint, Word, and Outlook.
  • Strong attention to detail.
  • Ability to meet tight deadlines.
  • Strong written and verbal communication skills, and interpersonal skills; demonstrated by the ability to effectively transmit, receive, and accurately interpret ideas, information, and needs through appropriate communication methods and behaviors to provide excellent customer service and maintain working relationships.
  • Ability to balance multiple competing priorities.

Nice To Haves

  • Demonstrated experience using Adobe products and Canva.
  • Working knowledge of email marketing software, such as Constant Contact.
  • Working knowledge of Microsoft Teams.
  • Familiarity with camera and audio equipment
  • Working knowledge of issues and challenges experienced by older people in the US and their family caregivers.

Responsibilities

  • Serve as a resource for Center members, including students, faculty, staff, and the public.
  • Coordinate and schedule Center meetings, arranging meeting space and virtual links.
  • Prepare meeting agendas and compose and disseminate meeting minutes as needed.
  • Provide administrative support for faculty members related to Csomay Center activities.
  • Maintain the Csomay mail/supply room and distribute mail.
  • Assist with the planning, organizing, and execution of Csomay Center events.
  • Provide administrative support for initiatives of the Csomay Center, such as the Certification Center.
  • Manage the College of Nursing front desk one day per week and support facilities and operations tasks as requested.
  • Perform other duties as assigned by the Csomay Center Coordinator and/or Center Director.
  • Assist with onboarding of student employees, including the use of office equipment, classroom equipment, and other available services/resources.
  • Provide functional and/or administrative supervision for student employees.
  • Manage the workflow of students to ensure alignment with center goals.
  • Initiate purchasing requests in university systems as requested.
  • Ensure invoices are processed, reconciled, and billed accurately and in a timely manner.
  • Participate in and adhere to cash handling controls according to university policies and procedures.
  • Review the budget each month to ensure proper spending and balanced accounts.
  • Serve as the primary contact for Csomay Center scheduling, maintain calendars, and support responding to routine inquiries, tasks, and procedures.
  • Identify, create, review, and circulate relevant information to CON faculty, staff, and Center members.
  • Evaluate requests and exercise discretion and judgment in providing confidential information to appropriate parties.
  • Exercise discretion and judgment in interpreting UI policy and procedure, seeking clarification from the supervisor as appropriate.
  • Create and maintain a listserv of Center contacts for marketing and communication purposes.
  • Compose and edit correspondence requiring discretion and judgment.
  • Circulate appropriate information relevant to the Center and its mission.
  • Maintain effective working relationships with faculty, staff, students, and the public.
  • Oversee social media strategy and content creation, including sharing relevant scholarly/clinical information.
  • Develop marketing materials such as brochures, flyers, and posters for distribution.
  • Provide support for the formatting and maintenance of Csomay Center websites.
  • Set up interviews with community members, donors, and other stakeholders as directed by Csomay Center staff.
  • Develop written communications, including website articles, community member spotlights, newsletters, and email blasts, and create templates for consistent messaging.
  • Manage Csomay Center podcast production, including writing outlines, coordinating with interviewees, recording, and editing.
