About The Position

The Administrative Assistant for the Arthur G. James Cancer Hospital & Richard J. Solove Research Institute is under general supervision of the Administrative Assistant Manager but works directly with operations director, managers and lead technologists of the James Laboratories and additional departmental directors as needed, to provide supportive services for daily operations. The James Clinical Laboratories which include: The James, Stefanie Spielman, Martha Morehouse, Cytogenetics and Molecular Pathology laboratories. The Administrative Assistant has no supervisory responsibility and maintains absolute confidentiality related to employee and patient information that may be viewed while carrying out various functions of the position. Position Summary Administrative duties include but are not limited to: maintain calendars, schedules meetings, Microsoft Teams and Zoom meetings, draft letters, open mail and prioritize meetings and appointments. Arranges travel and submits reimbursement documentation, maintains HR files within the departments, assists managers with clerical duties, orders lab supplies and maintaining office supplies and equipment. Perform computer data entry tasks including specimen logging-in, billing, and filing. Assists with coordination of accreditation and regulatory documentation for inspections, timekeeping, contact person for risk management documentation, distribution point for all internal and external communications, receptionist for department office and triages calls and directs callers to appropriate areas. Assists other laboratory personnel with the daily workload of the lab. This position will require working at multiple locations. Must be able to adapt to new environments and maintain an organized workspace.

Requirements

  • CCS requirements
  • Must have High School diploma or GED
  • Certification or vocational training may be required
  • 2 years of relevant experience required

Nice To Haves

  • Associate degree in relevant field may be preferred
  • 4-6 years of relevant experience preferred
