About The Position

The Administrative Assistant, Development will provide administrative support to the development team. The Administrative Assistant is responsible for purchasing and expense reporting, calendar and travel management, and other general administrative tasks.

Requirements

  • Minimum of 2+ years’ experience working in an administrative environment.
  • High School Diploma/GED
  • Proficient in all MS Office software especially Outlook, Word, Excel, and PowerPoint.
  • Experience with purchasing and expense reporting systems, preferably Oracle.
  • Excellent communication and strong critical thinking skills with the ability to identify and solve problems.
  • Professional, able to maintain confidential information and team oriented.
  • Exceptional customer service skills, for both internal and external parties
  • Able to prioritize assignments, multi-task, and re-prioritize assignments as needed.
  • Strong initiative and focused on process improvement.
  • Desire and aptitude to learn and understand the Energy Industry.
  • Ability to work in the United States without the need for visa sponsorship now or in the future.
  • Ability to work from our Chicago office 5-days/week

Responsibilities

  • Create documents and presentations
  • Make travel arrangements; maintain calendars, complete expense reports.
  • Lead creation of necessary documents for procurement activities such as service agreements, creating purchase orders, change orders and service orders and shepherd them through approvals and invoice receiving.
  • Office administration duties including distributing and preparing mail, maintaining supplies, cleaning office rooms, and managing office suppliers (copiers, water, etc).
  • Assist with identifying development prospects and assist developers in meetings.
  • Provide ad hoc project assistance such as interfacing with project landowners and assist in planning landowner group meetings and similar events.
  • Follow up on opportunities and set up appointments for development team.
  • Perform related duties as assigned.
