About The Position

Department of History: The UCF History Department studies the past in service to the present and the future, working with partners locally, nationally and internationally to produce new perspectives on the past for scholars and the general public. The Opportunity: UCF's History Department is seeking and Administrative Assistant I to provide comprehensive support to academic and operational units with a strong emphasis on undergraduate and graduate student services. This position serves as the face of the department office by handling communications and providing a positive, inviting, and informative experience for all stakeholders. The ideal candidate will have a proactive, customer service mindset with the ability to adapt and balance multiple priorities in a busy office environment.

Requirements

  • High School Diploma or Equivalent and 0+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

Nice To Haves

  • Experience providing customer service in an academic or administrative setting.
  • Experience working in higher education with faculty, staff, and students (student worker, internship, or professional).
  • Familiarity with data entry and records management, with the ability to prepare and process college or departmental forms accurately and efficiently.
  • Familiarity with Adobe Suite, Microsoft Office Suite, Canva, WordPress, or comparable tools.
  • Strong attention to detail with aptitude to maintain a professional, organized, and efficient work environment.
  • Skilled in managing multiple priorities, with the ability to effectively respond to and manage student requests.
  • A ‘people person’ with excellent proactive and diligent communication skills.

Responsibilities

  • Serves as the first point of contact for all prospective and current undergraduate and graduate History students by preparing, providing, mailing information in response to inquiries, and maintaining related records for statistical and follow up purposes.
  • Responsible for managing the department’s main email account.
  • Provides administrative support to the undergraduate program, including reviewing graduation certifications, assigning and tracking faculty advisors for all undergraduate History majors.
  • Provides administrative support to the graduate program, including maintaining student files with pertinent data and course information, scheduling and coordinating comprehensive examinations, foreign language proficiency tests, and thesis defenses.
  • Prepares letters of acceptance/declination and processes thesis agreements.
  • Serves as a liaison between the department, student association, College of Graduate Studies, and the College of Arts and Humanities Dean’s Office.
  • Assists department leadership in preparing programs of study, reviewing graduate catalog information, developing spreadsheets and confidential reports related to institutional effectiveness and assessment.
  • Collects syllabi, grade submissions, and faculty office hours.
