ChristianaCare is seeking a full time Administrative Assistant II to be responsible for maintaining routine administrative functions at the nursing units. Provides coverage for other office assistants when requested. The ideal candidate will be well organized, detail oriented and multitask. Candidate to complete tasks and duties within a prescribed timeline. Proficient computer skills along with strong verbal and written communication abilities. Benefits of working at ChristianaCare Generous PTO, Competitive Pay & Robust Benefits Package. 403B company match and Tuition Reimbursement 12 weeks Paid Parental Leave (after one year of service) Principal duties and responsibilities: Types departmental policies and procedures, reports, inter- and intra-departmental memorandums, capital budget worksheets, and meeting agendas and minutes Maintains personnel and departmental files in an organized fashion Produces flow charts, slides, and other graphic material Produces departmental data forms, i.e., sign-in sheets, assignment sheets, statistical work sheets and spreadsheets Utilized Windows-based office programs including work processing, spreadsheet, and data base products Maintains departmental payroll records Maintains departmental caregiver files Maintains departmental attendance records Provides administrative support for setting up conferences including room reservation, food, and all corresponding conference communications Completes travel and attendance arrangements for staff to attend conferences Maintains departmental Inservice records and provides data to Nursing Education system Arrange meetings for nurse managers Answers telephones, screening and routing calls as necessary Maintains office supplies within budget Maintains departmental communication devices Maintains inventory of unit equipment and devices Maintains confidentiality of patient/member and staff information, compliant with HIPAA regulations. Demonstrates proficient written and verbal communication skills. Demonstrates a sound knowledge base of appropriate departmental and hospital guidelines/policies. Attend staff meetings and mandatory Inservice. Performs assigned work safely, adhering to established departmental safety rules and practices; reports to supervisor, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors. Perform other related duties as needed.
