Eliot is seeking an organized and detail-oriented Administrative Assistant to support our program operations. The Administrative Assistant will manage a variety of administrative, clerical, and organizational tasks to ensure the smooth functioning of the program and compliance with all regulatory requirements. The ideal candidate is a highly organized and detail-oriented professional with a strong background in administrative support. They are proactive, dependable, and capable of independently managing multiple tasks in a fast-paced environment.

Requirements

  • High school diploma and 2+ years administration experience, or business school with 1+ year administration experience.
  • Must be at least 21 years old with a valid driver’s license.
  • Ability to work a flexible schedule in a fast-paced, high-stress environment; meet all background and credentialing requirements.

Responsibilities

  • Maintain accurate and up-to-date personnel files, payroll, billing, and program documentation.
  • Manage communications including phone calls, appointments, emails, mail, and visitor schedules.
  • Oversee supply inventory, purchasing, vehicle maintenance records, and program credit card and receipts.
  • Attend staff meetings, take minutes, and assist in program reporting for funding, licensing, and regulatory agencies.
  • Support data entry, incident reporting, outcome tracking, and satisfaction surveys billing documentation.
  • Maintain professional boundaries, confidentiality, and adherence to agency policies, including HIPAA and Corporate Compliance.
  • Serve as a positive and professional role model for staff, residents, and families.
