About The Position

Ichor Systems is a leading manufacturing company that values people as our most important asset. We are seeking a highly organized and professional Administrative Assistant to support daily site operations, leadership, and HR at our Fremont facility. This role ensures smooth office operations, creates positive experience for employees and visitors, and helps leadership and HR execute critical initiatives. This position is ideal for a candidate with 3–5 years of administrative experience in a fast-paced, operational, or manufacturing environment who thrives on multi-tasking, organization, and collaboration.

Requirements

  • 3 to 5 years’ experience in a fast-paced operational environment in an administrative or office support role.
  • Strong organizational and multitasking skills with the ability to prioritize in a fast-paced setting.
  • Experience supporting managers or leadership teams.
  • Proficient with MS Office ( Outlook, Word, Excel, PowerPoint, Teams, SharePoint)
  • Strong professional verbal and written communication and interpersonal skills.

Nice To Haves

  • Experience in a manufacturing environment a plus.
  • Knowledge of ERP systems, Oracle and Agile a plus.

Responsibilities

  • Manage daily office and reception operations, serving as the first point of contact for visitors, vendors, and employees. Direct to the appropriate departments and resources.
  • Process mail, invoices, and operational documents including sort, scan and file work orders and supplier receivers.
  • Provide administrative support to site management and HR, including preparing KPI reporting packets.
  • Schedule and coordinate meetings including calendar management, room logistics, meeting materials, and catering when required.
  • Maintain office and breakroom supplies, managing inventory while monitoring costs.
  • Support HR initiatives and company sponsored events, including logistics and coordination.
  • Ensure visitor and vendor compliance with site safety and security procedures.
  • Help identify gaps and recommend solutions in partnership with HR and management
  • Schedule and coordinate meetings, including logistics, accommodations, and meal services.
  • Coordinate travel arrangements for management as requested.
  • Handle confidential administrative work with professionalism and discretion.
  • Identify administrative process gaps and improvement opportunities, partnering with HR and site leaders to implement solutions.
