About The Position

We are seeking a detail-oriented and proactive Environmental, Health and Safety Administrative Assistant to support the daily operations of our Environmental, Health and Safety department. This role provides comprehensive administrative support for the department, initiatives, compliance documentation, and reporting requirements. Additionally, the position will serve as the administrative lead for our EHS Insight, our compliance and safety management software.

  • Candidates must have a verifiable history of safe vehicle operation and meet company standards for driving eligibility. This includes maintaining a clean driving record, which will be verified through a background check.
  • 2+ years of experience in an administrative role
  • Strong organizational skills with attention to detail and accuracy.
  • Prior experience with workers’ compensation claims and documentation
  • Bilingual in English/Spanish- must be fluent in both written and verbal communication.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Experience working with EHS manager or compliance software
  • Ability to handle sensitive and confidential information with discretion.

Nice To Haves

  • Associate or bachelor’s degree preferred
  • 1-2 years of EHS Insight experience.
  • Experience as a system administrator or super-user for EHS Insight or similar platforms.
  • Familiarity with OSHA, EPA and other regulatory requirements.
  • Knowledge of document control systems and internal/external audit procedures.
  • Experience with invoice tracking and basic financial documentation processes.
  • Process improvement or project coordination experience.

Responsibilities

  • Provide administrative support to the Environmental, Health and Safety team, including scheduling meetings, preparing correspondence, and maintaining files.
  • Maintain and organize EHS records in compliance with internal policies and regulatory standards.
  • Coordinate and track employee EHS training and certification requirements.
  • Assist in audit and inspection preparations and documentation.
  • File workers’ compensation claims, ensuring accuracy and compliance with legal and insurance requirements.
  • Serve as an administrative lead for the EHS Insight software platform.
  • Manage EHS Insight user accounts, roles, permissions, and system configuration.
  • Ensure timely and accurate data entry across modules such as incidents, audits, inspections, and training.
  • Generate regular and ad hoc reports from EHS Insight for compliance, safety meetings, and internal use.
  • Troubleshoot user issues, work with vendor support, and maintain system integrity.
  • Collaborate with EHS team to improve and streamline workflows, forms, and reporting functions.
  • Performs other job duties as assigned.
