About The Position

The Administrative Assistant will assist the VSS Director and unit staff members with coordination of student appointments, unit budgeting and purchasing, unit facility needs, event coordination, marketing, and general office duties as needed. The position requires a strong communicator who is comfortable working with students, other university units, and VA officials. Strong computer skills and familiarity with/or interest in Campus Solutions, Workday, Salesforce CRM, Knowledge Lake Imaging, Canvas, etc..

Requirements

  • High school (or GED) level ability in spelling, grammar, basic composition, and math.
  • Minimum of 1-3 years work related experience
  • Excellent interpersonal skills with an ability to establish and maintain strong positive working relationships with students, faculty and staff.
  • Ability to use empathetic listening skills, communicate (written and verbal) with clarity and maintain an attitude that conveys respect, assistance, honesty and resourcefulness.
  • Strong problem-solving and task management skills; able to work on several projects simultaneously and adapt to shifting priorities.
  • Strong project management and case management skills.
  • Strong computer skills with working knowledge of MS Office (Word, Outlook, Excel, PowerPoint)

Nice To Haves

  • Higher education student engagement and data analysis experience preferred.
  • Background in event and special programming coordination.
  • knowledge of Campus Solutions, Salesforce CRM, Canvas, VA Enrollment Manager, etc. is preferred, but not required.

Responsibilities

  • Administrative duties
  • Assist in clerical unit needs (phone calls, email monitoring, purchasing, travel arrangements, etc.).
  • Assist in addressing student issues by providing administrative support to the director and the entire VSS team.
  • Monitor and triage student and/or parent requests/concerns via phone and e-mail to the director and/or the proper VSS Counselor.
  • Spearhead coordination of unit events (new student orientation, graduation social, career readiness gatherings, etc.).
  • Assist director and VA Work Study Supervisor in monitoring the performance of the VA Work Studies.
  • Assist VSS team with strategic outreach for military-affiliated students.
  • Support VSS Counselors in processing VA Education Benefits certifications and student file management.
  • Support VSS leadership in performing yearly audits on student records and office supplies and assist the team with the VA Compliance Survey preparation.
  • Assist the VSS Director with the department’s budget transactions and maintain reports to ensure the proper use of operational funds.
  • Communication Management
  • Assist the director in monitoring social media accounts and departmental websites, to include general office communication, event information, and materials to military-affiliated students, campus partners, and the campus community as needed.
  • Act as main source of communication through email notifications to current students regarding upcoming events, scholarships and job opportunities, and information regarding VA benefits.
  • Assist the VSS Director when sending out official communication from the office.
  • Receive and distribute mail as appropriate, which also includes addressing mailing actions as needed.
