About The Position

This role requires strong business acumen and will be working closely with teams located within the office as well as clientele outside of the office. While this role may require a strong background in support/admin, you will be required to have a working knowledge of using computer hardware and software to support the business and its teams.

Requirements

  • High school diploma or GED equivalent.
  • Comprehensive working knowledge of Microsoft Windows applications, primarily Outlook, Word, Excel, Teams, and PowerPoint.
  • Ability to articulate ideas thoroughly and clearly through written and verbal communication, while being able to multitask and handle a variety of tasks simultaneously.
  • Experience working with tight deadlines, working under pressure to complete assigned tasks, and working in a fast-paced environment.
  • Experience with online purchasing and procurement of office supplies.

Nice To Haves

  • Experience working with reception duties such as handling phone calls, mail distribution, greeting guests, and some scheduling or coordinating.
  • Experience working with and coordinating office events, conference room scheduling, and handling on-site catering orders
  • Knowledge of maintaining office supplies, machines, printers, screens, and inventory management software or systems.
  • Experience coordinating corporate travel arrangements.
  • Strong emotional intelligence to handle conflict and respond to common inquiries or complaints from internal/external clients.
  • Strong ability to maintain organization, attention to detail, and reliability to create dependable work habits and functions.

Responsibilities

  • Support with front desk duties, i.e. call distribution, mail handling, opening and closing procedures, greeting onsite guests.
  • Coordinate requests for building conference room scheduling, onsite catering orders, set/strike meeting spaces.
  • Participate with branch marketing and event planning.
  • Oversee daily maintenance of branch office machines and corresponding supplies.
  • Fulfill various employee travel arrangements for local branch and other campus personnel.
  • Purchase and inventory general office supplies for Phoenix location.
  • Provide support to in house staff as needed with assorted administrative tasks daily (detailed list available upon hire).
