About The Position

We currently have an opening for an Administrative Assistant in the laboratory of Dr. Evan Eichler at the University of Washington School of Medicine. The Eichler lab is interested in the disease and evolutionary impact of gene duplication and other complex forms of human structural variation. Specifically, they apply advanced genome sequencing methods to understand how segmental duplications give rise to new genes and recurrent rearrangements associated with the neurodevelopmental delay, including autism. This role is an integral part of the lab and will be responsible for supporting the Investigator and lab members with scheduling, travel logistics, lab events, and correspondence. Strong candidates will have prior experience managing and coordinating administrative responsibilities across a variety of mediums. Requirements

  • Bachelor’s degree along with a minimum of 2-3 years related administrative experience is preferred, or an equivalent combination of education and work experience.
  • Strong computer skills using standard office equipment and strong familiarity with Windows.
  • Strong proficiency in Microsoft Office Suite, including Microsoft Word, Outlook, Excel, and PowerPoint.
  • Strong proficiency with Adobe Acrobat and Google Calendar.
  • Excellent communication, organizational, recordkeeping, and interpersonal skills.
  • Able to perform and prioritize a variety of tasks, learn new systems independently, apply experience to develop new techniques, retain associated information, and meet deadlines.
  • Possess exceptional customer service skills with a positive attitude and work ethic.
  • Capable of communicating information effectively, adaptively, and diplomatically both in writing and verbally.
  • Strong time management, analytical, and critical thinking skills.
  • Ability to handle confidential and sensitive information with discretion.
  • Ability to manage a variety of responsibilities simultaneously while remaining flexible to handle changing priorities.
  • Must be able to work independently with minimal direction as well as part of a team.

Responsibilities

  • Provide administrative support to the lab Investigator
  • Maintain Investigator’s calendar and lab’s calendar
  • Arrange domestic and international travel for Investigator
  • Assist with visa and academic appointments for lab trainees and staff
  • Coordinate job postings and new hire orientations
  • Manage lab meeting schedule; assist with planning and execution of lab meetings, including coordination of presentations
  • Organize, track, and monitor legal agreements (MTAs, DUAs, human subjects approvals, etc.)
  • Serve as a liaison between investigator and various administrative offices
  • Review, proofread, and edit written materials (correspondence, documents, and/or recommendation letters)
  • Ensure deadlines for grant application submissions and progress reports are met
  • Place lab orders
  • Process Investigator and lab member travel and other reimbursements
  • Serve as a resource to lab staff and resolve lab inquiries
  • Communicate policy and procedure changes to appropriate personnel
  • Maintain and update laboratory website, as needed
  • Organize lab morale events
