About The Position

We are looking for an Administrative Assistant for our Investment Banking and Capital Markets business. This role will support the Group Head and other Managing Directors while sustaining a strong collaboration with coverage partners across all the regional offices. To be successful in this role, you must be highly motivated, goal-oriented, and capable of proactively taking initiative. This role will be onsite 5 days a week.

Requirements

  • College degree is required
  • Ability to work effectively to meet time-sensitive deadlines
  • Highly motivated and willing to take on ad-hoc work as needed
  • Proficient with Microsoft Word, Excel, and PowerPoint

Responsibilities

  • Coordinating international/domestic travel and hotel arrangements, including creation of extensive trip itineraries and expense reimbursement requests
  • Coordinating arrangements for meetings, including scheduling, reserving conference rooms and catering
  • Preparing and processing travel and entertainment expenses promptly and accurately
  • Organizing client & team events
  • Process and track invoices for payment and follow up as appropriate
  • Assisting in onboarding & offboarding process including desk coordination, floor access, ID creation, etc
  • Providing support to the Group Head and Business Manager with group presentations via PowerPoint and Excel
  • Liaising with high-profile individuals daily
  • Providing timely and accurate follow-up to projects assigned
  • Arranging coverage when away from desk or office
  • Developing a thorough understanding of the IBCM policies & guidelines
