About The Position

The Administrative Assistant will provide comprehensive administrative support to Property Managers, assist multiple departments as needed, and maintain high standards of organization and professionalism in a luxury environment. This role requires strong communication skills, attention to detail, experience handling AP/AR tasks, and the ability to interact effectively with a diverse community.

Requirements

  • Proven experience as an administrative assistant or in a similar role
  • Knowledge of Accounts Payable and Accounts Receivable processes
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Strong organizational, multitasking, and communication skills
  • Professional demeanor, attention to detail, and discretion
  • High School Diploma or GED required
  • At least one year of directly related or closely related experience
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Professional customer service and communication skills
  • Strong grammar, punctuation, spelling, and business correspondence knowledge
  • Ability to work effectively with multiple stakeholders, including Property Managers, vendors, clients, and peers
  • Strong time management, prioritization, and ability to meet deadlines
  • Ability to interpret verbal and written instructions accurately
  • Able to work effectively independently and in group settings

Nice To Haves

  • Experience in hospitality, luxury residential communities, or hotels
  • Bilingual (English/Spanish) preferred

Responsibilities

  • Provide administrative support to Property Managers, including scheduling, communication, and managing resident requests
  • Answer and manage phones, emails, and visitor inquiries professionally
  • Maintain accurate and organized records, files, and reports
  • Prepare correspondence, presentations, and other documentation as required
  • Handle basic Accounts Payable (AP) and Accounts Receivable (AR) tasks
  • Assist multiple departments and Property Managers with ad hoc administrative projects
  • Ensure confidentiality and professionalism in all interactions
