About The Position

The Administrative Assistant is responsible for the day-to-day functioning of the office. The Administrative Assistant lends administrative support to ensure efficient operation of the office. This role involves managing a variety of administrative tasks, supporting staff, and assisting in the daily operations of the pharmacy team, and nursing team. Responsibilities include: Perform clerical duties that assist in the overall productivity and organization of the assigned region. Answer phone calls- routing to the appropriate recipient and take messages as necessary Maintain electronic and hard copy filing systems. Handle all incoming and outgoing mail. Office supply management and ordering. Clerical duties such as typing, photocopying, and scanning. Plan meetings and take detailed minutes. Write and distribute emails to the entire team as needed. Greet and assist patients and visitors in a professional and friendly manner. Act as a point of contact for internal and external clients Provide general support to visitors. Support nurse manager, pharmacy manager, and operation director with office related tasks as requested. Assist executive assistants with any assigned tasks including but not limited to on-site visits by the executive team. Train new staff on use of basic office equipment including but not limited to phone system use, copier, and postage machine.

Requirements

  • High school diploma or equivalent; an associate degree or certification in office administration is preferred.
  • Minimum of one-year administrative experience, preferably in office management
  • Proficiency in Microsoft Office Suite
  • Excellent writing and communication skills
  • Excellent customer service skills
  • Excellent organizational skills
  • Must be able to work 100 percent in office
  • Must be able to work Full-time, Monday-Friday 11am-7pm, flexibility required, 40 hours per week
  • Must have strong customer service, Microsoft Office skills, phone skills and ability to have oversight of call flow for incoming regional calls
  • Must be able to work in a fast paced environment
  • Must have Medical Administrative experience- preferred infusion knowledge

Nice To Haves

  • Prefer experience using the following systems/software/tools: CPR+, Insight, Teams, Genesys, Outlook, etc.
