About The Position

Administrative Assistant Permian Basin Behavioral Health Center Midland, TX Signet Health is currently seeking an Administrative Assistant to the Chief Executive Officer (CEO) for a New, free-standing psychiatric hospital located at Permian Basin Behavioral Health Center in Midland, TX. The Administrative Assistant plays a critical role in supporting the CEO of a newly established psychiatric hospital. This position provides high-level administrative, operational, and coordination support during hospital startup and ongoing operations. The Administrative Assistant must demonstrate exceptional discretion, organizational strength, and emotional intelligence while working in a highly regulated psychiatric care environment. The ideal candidate is proactive, adaptable, and comfortable operating in a fast-paced startup setting where systems and processes are being built from the ground up.

Requirements

  • 5+ years of experience providing executive-level administrative support to senior leadership
  • Exceptional organizational, prioritization, and time-management skills
  • Strong written and verbal communication abilities
  • High degree of professionalism, discretion, and emotional intelligence
  • Proficiency in Microsoft Office and/or Google Workspace
  • Ability to work independently, anticipate needs, and adapt in a startup healthcare environment

Nice To Haves

  • Experience in psychiatric hospitals, behavioral health, acute care hospitals, or other regulated healthcare settings
  • Experience supporting a CEO, founder, or C-suite executive
  • Familiarity with psychiatric hospital licensing, accreditation, or compliance processes

Responsibilities

  • Act as the primary administrative liaison between the CEO and internal and external stakeholders, including board members, medical leadership, psychiatrists, clinical staff, regulators, investors, and community partners.
  • Manage the CEO’s complex calendar, prioritizing meetings related to hospital operations, regulatory readiness, clinical leadership, and community engagement.
  • Coordinate board meetings and executive leadership meetings, including agendas, materials, minutes, and follow-up action items.
  • Prepare presentations, briefing documents, and reports for executive and board use.
  • Support hospital startup efforts, including coordination with clinical leadership, nursing, compliance, quality, risk management, HR, and facilities.
  • Track critical initiatives related to licensing, accreditation (e.g., Joint Commission or state agencies), policies and procedures, and readiness milestones.
  • Assist in organizing documentation related to psychiatric services, patient safety, and regulatory compliance.
  • Help establish executive office systems, administrative workflows, and document management processes.
  • Facilitate communication across multidisciplinary teams, ensuring clarity of priorities and follow-through on executive decisions.
  • Draft, proofread, and manage sensitive correspondence and internal communications on behalf of the CEO.
  • Maintain organized records of strategic plans, contracts, and confidential operational materials.
  • Handle highly sensitive information related to psychiatric patients, staff, and operations with discretion and strict adherence to HIPAA and other healthcare regulations.
  • Demonstrate sound judgment and professionalism in emotionally complex and high-stakes situations.
  • Support a trauma-informed, patient-centered organizational culture.
