About The Position

Perform a variety of office clerical operations to include receiving inventory, reconcile invoices, answering telephones, scanning documents, filing, preparing mailings, assisting the accounting department, and serving as building receptionist.

Requirements

  • At least two (2) years of clerical experience in a similar role.
  • High school diploma or equivalent.
  • Proficient in using MS Outlook, Word, and basic Excel.
  • Excellent interpersonal and communication skills.
  • Ability to follow oral and written instructions.
  • Ability to work under minimal supervision.

Nice To Haves

  • Bilingual (Spanish-English).
  • Experience with Vista is a plus.

Responsibilities

  • Greet visitors, answer telephones, direct calls, and take messages.
  • Manage incoming and outgoing mail.
  • Compute, record, and proofread data and other information, such as POD’s, records, or reports.
  • Receive inventory and complete entries in Vista as required.
  • Communicate with employees, and other individuals to answer questions, disseminate or explain information, and properly direct inquiries and concerns.
  • Communicate discrepancies regarding invoices and POD's
  • Compile, copy, sort, scan and file documents.
  • Maintain and update filing, mailing, and database systems, either manually or using a computer.
  • Order and maintain inventory of office supplies (including office and breakroom items).
