Requirements

  • Proven experience as an administrative assistant or in a similar role, preferably in the construction industry.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office software.
  • Excellent verbal and written communication skills to effectively interact with team members and clients.
  • Highly organized with the ability to multitask and prioritize tasks in a fast-paced environment.
  • Detail-oriented with strong problem-solving abilities and a proactive approach.
  • Ability to work independently and collaboratively within a team-oriented culture.

Nice To Haves

  • Familiarity with construction terminology and processes is a plus.

Responsibilities

  • Answer and direct phone calls and inquiries in a professional manner.
  • Manage and maintain schedules, calendars, and appointments for management and team.
  • Assist with the preparation of reports, documents, and presentations for internal and client-facing meetings.
  • Handle incoming and outgoing correspondence, including emails and physical mail.
  • Organize and maintain files and records, both physical and electronic, to ensure efficient access and retrieval.
  • Assist with bookkeeping tasks, including invoicing and tracking payments to subcontractors and suppliers.
  • Coordinate logistics for job sites, including scheduling cleaning crews and ordering supplies and equipment.
