About The Position

An independent forum for prompt and impartial resolution of administrative law contested cases involving citizens and state agencies, investigation of alleged unlawful employment practices in state government, and codifying administrative rules. The major purpose of this position is to screen and analyze all incoming calls and forward to appropriate personnel, greet the public and clients, open all incoming mail(USPS, MSC, Walk-Ins), file stamp and enter all incoming mail into the Case Management System (CMS) accurately and distribute a copy of each document to the assigned Administrative Law Judge (ALJ) when applicable, making additional copies and scanning when necessary, and returning a file stamp copy to party as requested. Alert ALJ/assistant when urgent Motions are filed. Bundle all outgoing mail for pick up (USPS/MSC/SAM) Receive and confirm all faxes to the sender, key the faxed information into CMS. Monitor security cameras and alert appropriate personnel. . This position must maintain the confidentiality of Sealed or Protected Contested Cases. This is a JOB-SHARE Position. The successful candidate will work 40 hours every other week. This position is considered part-time.

Requirements

  • High school or General Educational Development (GED) diploma and one year of administrative experience; or an equivalent combination of education and experience.

  • Greet the public and clients
  • Open all incoming mail(USPS, MSC, Walk-Ins)
  • File stamp and enter all incoming mail into the Case Management System (CMS) accurately
  • Distribute a copy of each document to the assigned Administrative Law Judge (ALJ) when applicable
  • Make additional copies and scanning when necessary
  • Return a file stamp copy to party as requested
  • Alert ALJ/assistant when urgent Motions are filed
  • Bundle all outgoing mail for pick up (USPS/MSC/SAM)
  • Receive and confirm all faxes to the sender
  • Key the faxed information into CMS
  • Monitor security cameras and alert appropriate personnel
  • Maintain the confidentiality of Sealed or Protected Contested Cases
  • Maintain a record of all checks received (Receipts Register) and deposited and keeps a notebook with copies of all invoices
