About The Position

The University of Southern California, Department of Animal Resources, takes pride in providing optimal animal care for all animals housed at the university for the purposes of biomedical research and teaching. The Department of Animal Resources is seeking a reliable, dependable, self-motivated, and responsible individual for an Administrative Budget Assistant opening. The Administrative Budget Assistant provides support to the Senior Operations Manager, performing a variety of accounting duties (e.g. financial transactions, invoice reconciliation, and other accounting and administrative activities). Requirements

  • Minimum Education : Associate’s degree or combined experience/education as substitute for minimum education
  • Minimum Experience : 1 Year
  • Minimum Field of Expertise : related bookkeeping/accounting experience.
  • Knowledge of bookkeeping/accounting practices and principles.
  • Ability to use a variety of bookkeeping/accounting software applications, such as databases, spreadsheets, etc.
  • Minimum Education: Associate's Degree Combined experience/education as substitute for minimum education
  • Minimum Experience: 3 years
  • Minimum Field of Expertise: Secretarial, clerical or administrative experience including some budget, financial or payroll experience.

Nice To Haves

  • Preferred Experience : 2 years
  • Preferred Field of Expertise : University accounting experience

Responsibilities

  • Assist with preparation, monitoring, and reconciliation of department’s billing system for collecting revenue from the services provided to researchers.
  • Process financial transactions in Workday such as purchase requisitions, invoices, credits, and other related billable financial transactions in AOPS.
  • Reconcile vendor statements and pay invoices.
  • Manage accounts payable and receivable processing, including reconciling vendor statements and ensuring timely invoice payment.
  • Assist with audits and respond to internal and external financial inquiries.
  • Provide administrative support such as document management, correspondence with researchers, and maintaining accurate financial records.
  • Perform other related duties as assigned or requested.
