About the Role We are looking for a proactive and highly organized Administrative Business Partner to support our leadership team and help keep our office running seamlessly. This is not a role for someone who waits to be told what to do — we need someone who anticipates needs before they arise, thinks two steps ahead, and brings calm, structure, and efficiency to a fast-moving environment. You'll serve as a trusted partner to senior leaders while also owning the day-to-day operational heartbeat of our office. Requirements

  • 3+ years of experience in an administrative assistant, project coordinator or office operations role
  • Exceptional organizational skills with a natural ability to build structure and systems around ambiguous tasks
  • A forward-thinking, anticipatory mindset — you solve problems before others know they exist
  • Strong attention to detail; nothing slips through the cracks
  • Ability to manage multiple competing priorities in a fast-paced, dynamic environment without losing composure
  • Excellent written and verbal communication skills
  • High level of professionalism, integrity, and discretion
  • Proficiency with tools such as Google Workspace and calendar/scheduling platforms

Nice To Haves

  • Experience with expense management tools (e.g. Concur or similar) is a plus

Responsibilities

  • Manage complex calendars for members of the leadership team, including scheduling meetings, resolving conflicts, and prioritizing appropriately
  • Coordinate travel arrangements, including flights, hotels, ground transportation, and detailed itineraries
  • Process and reconcile expense reports accurately and in a timely manner
  • Anticipate the needs of leaders and proactively prepare them for upcoming meetings, travel, and commitments
  • Handle sensitive information with the utmost discretion and professionalism
  • Own office supply management, including tracking inventory and placing orders to ensure the team always has what it needs
  • Coordinate in-office lunches, catering orders, and team meals with attention to dietary needs and timelines
  • Plan and execute employee events, team celebrations, and office initiatives from concept through completion
  • Serve as a go-to resource for the team on day-to-day office needs and logistics
  • Partner with vendors, building management, and external partners as needed
  • Identify opportunities to improve office processes and implement solutions proactively
