About The Position

Discover The Palm Beaches - the official tourism marketing organization for Palm Beach County, is seeking a paid part-time employee to assist the Sales and Finance teams. This opportunity helps support the day-to-day Accounts Payable and Receivable activities in the Finance Department as well as the administrative activities in the Sales Department. This role deals with internal contacts at all levels of the organization. The Finance and Sales Teams are seeking a qualified individual for an Administrative Coordinator Part-Time position less than 30 hours a week Monday-Friday and between the hours of 8:30am-5pm. This position will be at a rate of $18-$20 per hour. Hours can be completed in full days or half days as previously determined by the employer’s needs and the candidate’s availability.

Requirements

  • Must be able to communicate effectively both verbally and in writing.
  • Excellent computer literacy with experience using Microsoft Office programs, including Word, Excel, PowerPoint, Publisher and Outlook.
  • Attention to detail and organization.
  • Adept to working on deadlines and balancing multiple projects.
  • Team player with a positive cooperative attitude.
  • Self-motivated, self-starter able to work independently.

Responsibilities

  • Finance Review assigned staff expense reports for accuracy and proper documentation
  • Follow up weekly with staff for missing back-up for expense reports
  • Create and send invoices for DTPB related revenue programs
  • Manage the collections and application of private revenue programs
  • Prepare check deposits through the Banking, Accounting and CRM systems
  • Reconcile online Credit Card transactions
  • Sales Coordinate shipping of amenities and marketing collateral for sales missions and tradeshows
  • Itemize and track all materials shipped for each event
  • Manage overall inventory of marketing collateral and amenities
  • Assist with creating amenities for site inspections and group servicing
  • Assist with processing expense reports / invoicing ensuring proper backup documentation is submitted
  • Support marketing creative updates and adjustments using Canva and Monday.com forms
  • Manage marketing follow-up related to sales activities
  • Fulfill shipment requests for Visitor Guides and Insider Guides and distribute bi-monthly shipping reports
  • Mailing the collection of Love the Palm Beaches postcards
  • Provide additional administrative support to the Finance and Sales teams as needed
