About The Position

The Administrative Coordinator manages and optimizes By-Name Lists (BNL) within Wake County’s Continuum of Care (CoC) Coordinated Entry system. This role ensures compliance with HUD guidelines, supports data-driven decision-making, and advances efforts to reduce homelessness. Key responsibilities include maintaining accurate data, coordinating referrals, facilitating case conferencing, and engaging community partners. This role is critical in the work to end homelessness and will be joining a passionate team focused on system improvement and client wellbeing.

Nice To Haves

  • Bachelor’s degree in Social Work, Public Administration, Human Services, or a related field.
  • Three (3) years of job-related experience including work as a case manager, intake specialist or care coordination.
  • Familiarity with HUD CoC and HMIS policies and procedures.
  • Experience managing large data sets and coordinating client care, case management plans.
  • Demonstrated knowledge of diversion strategies and housing-focused best practices.
  • Strong attention to detail and ability to maintain accurate documentation across multiple systems.
  • Experience working with HUD funded programs, including but not limited to Continuum of Care and/or Emergency Solutions Grant (ESG).
  • Excellent customer service and interpersonal skills, with the ability to engage effectively and empathetically with clients, providers, and community partners.
  • Strong understanding of homelessness services, Coordinated Entry processes, and HUD CoC standards.
  • Skilled in public speaking, stakeholder engagement, and meeting facilitation.
  • Excellent communication, problem-solving, and organizational skills.
  • Ability to interpret and apply policies with sound judgment and discretion.
  • Proven capacity to work independently and collaboratively while managing multiple priorities.
  • Experience facilitating case conferencing and coordinating housing placements.
  • Familiarity with policy implementation and compliance within HUD CoC frameworks.
  • Expertise in Coordinated Entry referral processes, prioritization strategies, and case conferencing.
  • Proficient in HMIS platforms (e.g., Clarity, ServicePoint) and Microsoft Office Suite.
  • Knowledge of HUD CoC policies, HMIS data standards, and federal reporting requirements.
  • Ability to analyze and manage large datasets for accurate reporting and informed decision-making.

Responsibilities

  • Referral & Case Coordination: Monitor client inflow across unsheltered, sheltered, and diversion programs; ensure timely documentation and referrals; track progress with service providers.
  • Training & Engagement: Deliver training on Coordinated Entry processes; onboard new agencies; present data insights to stakeholders; support community collaboration.
  • Policy & System Management: Update BNL policies and protocols; maintain system manuals; ensure compliance with HUD CoC standards.
  • Data & Reporting: Oversee accurate data entry; analyze trends; prepare reports for leadership and funders; ensure HMIS data integrity.
  • Collaboration: Lead case conferencing; participate in CoC meetings; build partnerships with agencies serving specialized populations.
