About The Position

The University of Maine at Farmington (UMF) is looking for a versatile and organized Administrative Specialist CL2 to serve as the operational backbone of our Fitness and Recreation Center (FRC). The FRC is a vibrant hub on campus, providing a wide range of programs and services to our students, faculty, staff and the local community. This is an essential operational position that ensures accuracy, continuity, and compliance across the FRC's diverse functions. You will be the “go-to” person for daily business support, supporting the financial, administrative, and customer service health of the department. The starting rate is $19.61 for a new hire or the appropriate transfer rate for a current employee within the ACSUM collective bargaining unit.

Requirements

  • Organizational Rigor: Ability to handle multiple tasks, prioritize daily work based on deadlines, and maintain 100% accuracy in data entry.
  • Financial Acumen: Knowledge of basic bookkeeping, budgeting principles, and the ability to identify and correct balancing errors.
  • Technological Proficiency: Experience with computers and related software applications (e.g. MaineStreet/PeopleSoft, scheduling software, and credit card processing systems).
  • Communication Excellence: Strong interpersonal skills to effectively exchange information with coworkers, students, and the general public.
  • High School diploma or equivalent.
  • Sufficient experience, including two (2) years administrative support experience.

Nice To Haves

  • Experience in fitness, recreation, or higher education setting is a plus.
  • Experience with scheduling software is considered an asset.

Responsibilities

  • Financial Stewardship: Processing purchasing, travel arrangements, and various membership plans. You will oversee credit card systems, process financial transactions, and prepare financial reports.
  • Facility & Event Logistics: Coordinating facility scheduling for teams, classes, and special events.
  • Student Workforce Support: Acting as the primary resource for student payroll and providing administrative support for the student workforce.
  • Communication & Membership Support: Providing exemplary customer service to a diverse population of students and community members. You will explain departmental policies and provide guidance on non-routine requests.
  • Records & Compliance: Maintaining confidential department files and ensuring all data entry - including membership and financial records - is accurate and error free.
