About The Position

The Administrative Specialist I / Processing Assistant IV (PAIV) position provides support for one Counselor-in-Charge and assigned Rehabilitation Counselors in the Gastonia Unit and other staff members as needed. The Processing Assistant will be involved in all aspects of the rehabilitation process under the direction of the Rehabilitation Counselor(s), Unit Manager and Counselor-in-Charge. Job responsibilities include the following: • Greeting visitors and callers courteously and professionally, to include contact with staff, vendors, other departments and the public • Using a multi-line phone system to answer and route calls to appropriate staff members • Preparing documents, maintaining spreadsheets, inputting data, and completing billing processes for assigned staff • Receiving applications from clients, along with requesting and obtaining medical/treatment records • Documenting client information, interactions, and services into the case management system throughout the rehabilitation process • Utilizing office equipment and other relevant technology (software and systems) to meet office needs

Requirements

  • The Knowledge, Skills, and Abilities (KSAs)/ Management Preferences are not required.
  • High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.

  • Experience providing effective front-line service to the public, including responding to inquiries, resolving concerns, and maintaining professionalism in and fast-paced environments
  • Experience performing routine administrative and office support functions such as data entry, document preparation, scheduling, and filing, with accuracy and attention to detail
  • Knowledge of and/or experience with case management systems
