About The Position

This position serves as the lead office support professional for the assigned division(s) and functions as an administrative assistant to the Division Director(s). It is primarily responsible for managing position and personnel actions, including coordinating, tracking, and documenting activity for each assigned position. Duties include posting vacancies, monitoring recruitment and selection processes handled by Human Resources and division supervisors, and preparing offer, acceptance, or rejection letters. The role also involves completing and submitting personnel action forms related to staffing assignments and coordinating payroll functions. Additionally, the position manages budget transfers associated with employee or position reassignments to meet administrative needs. Another key responsibility is overseeing the management, tracking, and reconciliation of the division’s assigned budget. This Office Assistant IV position is located within the Harmony Court and West End Villa Divisions with it's working hours being Monday - Friday from 8:00am-5:00pm.

Requirements

  • High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.

Nice To Haves

  • Ability to word process at a minimum rate of 50 words per minute.
  • Proficiency in computer operation and applications (Microsoft Word and Microsoft Excel).
  • Ability to learn quickly applications and programs with training.
  • Must have effective oral and written communication skills and organizational capability.
  • Associate's Degree in Secretarial Science and a minimum of 4 year's experience.
