About The Position

The Administrative Support Coordinator II plays a key role in ensuring the smooth and efficient operation of academic and business functions within the Political Science department. Working closely with the Department Chair, faculty, and College partners, this position provides comprehensive coordination across academic personnel processes, curriculum and scheduling support, financial activities, and daily administrative operations. The role serves as a central point of communication and organization, helping maintain continuity, accuracy, and compliance with university and CSU policies. This is an excellent opportunity for a detail-oriented professional who enjoys managing complex workflows and supporting academic excellence in a collaborative university environment.

Requirements

  • Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures.
  • Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing.
  • Some positions may require a knowledge of business mathematics beyond basic arithmetic.
  • The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.
  • These qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
  • Extensive experience using Microsoft Word and Excel.
  • Experience with On Base, Banner, and PeopleSoft.

  • Lead and/or supervisory experience is preferred.
  • Experience working with diverse student populations in a university setting is preferred.
  • Experience maintaining budgets is preferred.
  • Experience in handling confidential matters is preferred.
  • Experience coordinating administrative support functions for a group is preferred.

Responsibilities

  • Coordinate academic personnel, curriculum, and scheduling processes in collaboration with faculty and College partners.
  • Support budget tracking, financial documentation, and related administrative functions.
  • Manage documentation, timelines, data entry, and communications to ensure operational continuity and compliance.
  • Utilize university systems such as PeopleSoft, Banner, and OnBase to maintain accurate records and workflows.
  • Provide high-level administrative support while exercising discretion in handling confidential matters.
