About The Position

The Administrative Support Specialist is responsible for providing general administrative, clerical, and organizational support across departments. This role assists with daily office operations, document management, communication, scheduling, data entry, and basic operational coordination to ensure efficient and organized workflow. The position requires strong organizational skills, attention to detail, professionalism, and the ability to maintain confidentiality.

Responsibilities

  • Provide general administrative and clerical support to multiple departments
  • Answer and direct phone calls, take messages, and respond to inquiries
  • Schedule meetings and appointments as directed
  • Prepare, organize, scan, copy, file, and distribute documents and correspondence
  • Maintain and update paper and electronic filing systems
  • Perform data entry and maintain databases and spreadsheets
  • Assist with reports, mailings, packets, and internal communications
  • Retrieve records and documentation for staff as needed
  • Monitor and maintain office supplies and assist with inventory tracking
  • Support billing, tracking, or documentation processes as assigned
  • Assist with maintaining compliance documentation and internal records
  • Coordinate basic office logistics, including equipment and vendor communication as needed
  • Operate standard office equipment (copiers, scanners, fax machines, computers)
  • Maintain confidentiality of sensitive information in accordance with agency policies
  • Assist with general office organization and day-to-day operational needs
  • Perform other duties as assigned by the supervisor
