About The Position

Elementary registrars are responsible for the overall monitoring and maintenance of student attendance, enrollment, and academic records, certifying compliance with statutory and districting guidelines.

Requirements

  • Minimum High School Diploma or equivalent.
  • Three years clerical and record keeping experience required.
  • Data entry experience preferred.
  • High level of data entry accuracy required.
  • Prefer student information system software experience.
  • Current state requirements and guidelines.
  • Student information systems, database concepts.
  • Effective interpersonal skills.
  • Excellent oral and written communication skills.
  • Programs: Microsoft Access, Excel, Word, Student Information Systems, state longitudinal database.
  • reaching, standing, walking, finger dexterity, grasping, talking, hearing, seeing and repetitive motions.
  • Light Work: Exerting up to 10 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for Sedentary Work and the worker sits most of the time, the job is rated for Light Work.

Responsibilities

  • Support mission, core values, and goals of the district.
  • Register and enroll new students, collecting all required documents.
  • Provide paperwork to appropriate staff for students with IEPs or 504 Plans.
  • Process open enrollments, both in and out of District.
  • Enter all student information into the student information system consistent with state business rules and district requirements.
  • Submit and fulfill student records requests.
  • Track 10-day drops by having teachers verify class rosters.
  • Collect 45-day screenings.
  • Process student withdrawals and inform appropriate staff that student is being withdrawn.
  • Update and track information changes in the student information system such as address, phone numbers, or emergency contacts.
  • Track where exited students enroll.
  • Collect, record, and submit accurate attendance in the student information system.
  • Document all student absence information and maintain daily student sign-in and sign-out sheets for audit purposes.
  • Ensure all students are accounted for each day according to statutory requirements.
  • Verify attendance is taken twice daily.
  • Notify parents of student absences.
  • Respond to parent, student, and community inquiries regarding attendance policies and procedures.
  • Provide attendance and enrollment reports to teachers, administrators, and district staff.
  • Generate truancy reports and notifications.
  • Verify that all teachers have posted all grades during the grading window.
  • Collect hard copy grade books at year-end.
  • Review cumulative files for all incoming students to ensure all required documents are included.
  • Periodically audit student cumulative files.
  • Annually update student cumulative files with transcript of final grades, standardized assessment results, a summary of attendance, updated immunization records (if applicable), open enrollment forms, and re- enrollment forms.
  • Due to the potential for access to confidential student information, it is mandatory that this position safeguard and maintain the confidentiality of the information stored and discussed in the school.
  • Perform other duties as assigned.
