About The Position

HERITAGE CHRISTIAN SCHOOL ADMISSIONS COORDINATOR POSITION OBJECTIVE: The Admissions Coordinator will serve as the primary connection between HCS and prospective families in several manners including telephone and email interaction, face-to-face tours, admission and community events for prospective families. In addition, the Coordinator interfaces with school offices to support the admissions process. QUALIFYING CHARACTERISTICS: The employee is a Christian with an authentic and a mature personal relationship with Jesus Christ in both their professional and personal life with a calling and commitment to Christian education. The Admissions Coordinator must maintain a professional appearance and manner with a friendly and welcoming affect. This employee must be aligned with the mission of HCS, and project a passion for Christian education, the school and its values. They must be conscientious, organized and a good listener, with the ability to ask probing questions to identify needs and issues for follow-up. A self-directed and creative individual with the ability to see beyond the task at hand is essential, as is a willingness to take direction, be a team-player, and the desire to go above and beyond for prospective families, the department and the school. The ideal candidate will thrive in a time and task intensive environment where multi-tasking and frequent interruptions are the norm. The Coordinator must possess a strong customer-service bent, with the ability to clearly communicate in both verbal and written forms. A high level of integrity, accuracy and trust are crucial. This employee must exercise discretion and sensitivity in handling confidential matters. A flexible attitude toward change is necessary as processes and procedures are often updated and improved. Establishing and maintaining effective working relationships with all HCS constituents is essential. EDUCATION AND EXPERIENCE REQUIREMENTS: A HS diploma is required; however, an undergraduate degree is preferred. At least two (2) years of related office experience, especially in an admissions department, is highly sought. Sales or sales-related experience is essential. Extensive knowledge of Google workspace and experience utilizing computer applications is needed. Knowledge of the HCS offerings and community is a plus.

  • Ability to quickly understand, embrace, and clearly communicate the culture, mission, and educational experience of HCS.
  • Warm, positive, and engaging presence that conveys genuine excitement about the HCS community while creating a welcoming and joyful experience for prospective families.
  • Must be able to meet the physical requirements of the position, including the ability to move up to 25 pounds, use all office equipment, and negotiate the campus.
  • This position requires the ability to work a flexible schedule during busy enrollment periods including evening (and occasional weekend) events throughout the year, especially during the spring re-enrollment period.

Responsibilities

  • Serve as a primary point of contact for prospective families, anticipating and responding to their needs from initial inquiry through enrollment.
  • Proactively engage prospective families through timely and professional communication, follow-up, and relationship-building throughout the admissions process.
  • Plan, coordinate, and support admissions events such as open houses, information sessions, shadow visits, and prospective family visits.
  • Conduct campus tours that effectively communicate the Christian distinctives, mission, culture, and opportunities available at HCS.
  • Assess and understand the needs and interests of prospective families and clearly articulate how HCS can meet those needs.
  • Guide families through the application process, ensuring completion of all required steps and documentation.
  • Collaborate with school principals and academic leadership to coordinate student assessments, family interviews, and admissions decisions.
  • Plan and participate in off-campus marketing events
  • Maintain accurate and up-to-date records of inquiries, applicants, enrollment status, and family interactions within the admissions database.
  • Collaborate with principals and staff across the school to ensure prospective families experience a coordinated and welcoming admissions process.
  • Monitor and manage the admissions pipeline, ensuring timely follow-up with inquiries (typically within 1 business day), applicants, and prospective families to support enrollment goals.
  • Serve as a welcoming ambassador for HCS, ensuring every interaction with prospective families reflects the school’s warmth, mission, and culture while creating a positive and joyful admissions experience.
