About The Position

The Advisor Services Specialist serves as a primary point of contact for inquiries from advisors and investment professionals regarding portfolios, account activity, and donor-advised fund contributions. As a member of the Portfolio Operations team, this role supports financial advisor-managed accounts (FAMA) by ensuring accurate and efficient exchange of information between internal teams and external stakeholders. The position collaborates closely across finance, development, and external advisory networks to ensure precise execution of investment-related processes and deliver exceptional service to both donors and advisors. The position is based in Kansas City, MO and reports to the Director of Financial Data & Operations. This hourly, nonexempt employee works in the office Monday – Friday but has the potential to work remotely (1-2 days a week) after a successful in-office training period. To ensure we provide quality service to our donors, this position requires full availability during the fourth quarter (peak season) due to critical year-end responsibilities and business deadlines. While we recognize and observe holidays, personal time off is limited to?ensure the successful completion of essential year-end tasks.

Requirements

  • Education & Experience: A bachelor’s degree or equivalent and at least 2 years of experience in the nonprofit or philanthropic sector, and/or working with donor advised funds. An equivalent combination of education and experience will be considered.
  • Communication & Relationships: Ability to build professional relationships with internal and external stakeholders and successfully communicate verbally and in writing. Demonstrated strong business acumen while maintaining confidentiality and upholding privacy standards.
  • Technical Aptitude: Ability to interpret an extensive variety of technical instructions and deal with several abstract and concrete variables. High technical aptitude and ability to learn new software quickly and thoroughly. Ability to read, analyze and interpret a variety of instructions and procedures; operate within current industry best practices.
  • Financial Acumen: Ability to apply, present, and manage within relevant financial principles and data. Possess high-functioning level of accounting and financial aptitude with the ability to define problems, collect data, establish facts and draw valid conclusions.
  • Operational Agility: Ability to operate in a highly collaborative environment, while able to work independently and be self-motivated. Respond effectively to the most sensitive inquiries or complaints; work well under pressure, including identifying and quickly resolving problems.
  • Transportation: Possesses a valid driver’s license, automobile insurance, and maintains a clean driving record. Demonstrates the ability to drive safely, follow GPS/map instructions accurately, and ensure access to reliable transportation for work-related travel and engagements.

Responsibilities

  • Foster strong relationships with professional advisors through clear and concise verbal and written communication, reinforcing GKCCF’s brand and values.
  • Prepare donor reports for agency funds and other clients within the expected timeline, ensuring quality review and accuracy.
  • Maintain data integrity of our internal databases and technology systems (Salesforce, APX) by populating and updating accurate portfolio data and investment data.
  • Monitor, reconcile, and validate fund-level and account-level investment performance and returns across pooled portfolios.
  • Coordinate the processing of stock gifts, including the sale of donated securities or transfer to custodian accounts.
  • Ensure complete and accurate documentation of donor and fund details, and conduct research as needed.
  • Track and reconcile cash transfers between custodians, investment managers, and internal accounts to support grant disbursements and administrative fee allocation.
  • Act as a liaison for advisors and donors in the transfer of assets between investment accounts and the Community Foundation.
  • Assist in managing the investment team’s email inbox by routing inquiries, logging relevant information, and conducting research to support timely responses.
  • Contribute to process improvement initiatives focused on enhancing operational efficiency and data integrity.
  • Crosstrain across key investment operations tasks. Serve as backup for colleagues during peak periods or staff absences.
