About The Position

The Appointment Scheduler for our Otolaryngology Specialists plays a vital role in ensuring efficient patient access to care. This position is responsible for managing provider schedules, coordinating appointments, and delivering exceptional customer service to patients. The ideal candidate is detail-oriented, organized, and experienced in a fast-paced medical office environment, preferably within a specialty practice.

Requirements

High school diploma or equivalent required
Minimum of 1 year of medical scheduling or front-office experience preferred
Experience in a specialty practice (ENT, surgical, or multi-provider practice) strongly preferred
Familiarity with EMR systems and medical scheduling software, Intergy and or Mod Med
Knowledge of insurance plans, referrals, and prior authorization processes is a plus
Strong organizational skills and attention to detail
Excellent verbal communication and customer service skills
Ability to multitask and thrive in a fast-paced environment

Responsibilities

Schedule, reschedule, and confirm patient appointments for ENT providers, procedures, and diagnostic testing
Manage high-volume inbound and outbound calls in a professional and compassionate manner
Verify patient demographics, insurance information, and referral requirements at the time of scheduling
Ensure appointments are scheduled appropriately based on visit type, urgency, and provider availability
Coordinate follow-up appointments, post-operative visits, and testing as directed by providers
Maintain accurate and up-to-date scheduling records within the electronic medical record (EMR) system
Communicate effectively with clinical staff, providers, and patients to ensure smooth daily operations
Monitor and manage provider schedules to maximize efficiency and minimize gaps or overbooking
Address patient questions related to appointment logistics, preparation instructions, and office policies
Adhere to HIPAA guidelines and maintain patient confidentiality at all times
