About The Position

Reporting to the Executive Director of Enrollment, the Assistant Director of Admissions Operations is a key member of the Admissions leadership team, responsible for providing strategic direction, technical expertise, and operational oversight for undergraduate admissions, with additional support for graduate and international admissions. This role ensures effective use of technology, systems, workflow, and data throughout the admissions lifecycle to support Texas Wesleyan University’s enrollment goals. The Assistant Director oversees the daily management of admissions systems, including the CRM (Slate), the university’s ERP , and related platforms, and leads data integrity, process optimization, reporting, and systems integration efforts. This position supervises admissions processors and collaborates closely with campus stakeholders to design, implement, and improve technology-supported solutions. The Assistant Director also contributes to the design, maintenance, and support of Slate and serves as a resource for data training, reporting, imports/exports, and operational best practices.

Responsibilities

  • Systems & Data Management Manage daily maintenance, administration, and optimization of admissions data systems, with primary focus on Slate. Create and maintain data imports, exports, rules, workflows, queries, and automated processes. Troubleshoot system issues and monitor operational efficiency across applications, processes, and integrations. Develop, implement, and maintain Colleague-generated reports and operational processes. Upload directory and search lists; ensure accuracy and consistency of all records across systems. Oversee data integrity efforts, including audits, duplicate resolution, and data validation.
  • Workflow, Process Optimization & Technology Leadership Coordinate the efficient and accurate flow of applications and data through the digital admissions process and the Slate CRM . Lead the implementation of new technologies and enhancements affecting admissions operations ( CRM , ERP , and related platforms). Establish and promote CRM best practices to support effective recruitment, admissions, and enrollment activities. Collaborate with campus partners to identify, design, and implement process improvements that enhance workflow, efficiency, and user experience. Conduct analyses, identify operational problems, recommend solutions, and evaluate outcomes for undergraduate and graduate admissions.
  • Integrations & System Support Manage integrations between Slate, the university’s ERP , ApplyTexas, testing agencies, and other data sources. Edit and update student digital records; build and refine reports and queries to ensure successful integration and data flow. Support communications, reporting, and analysis by importing, validating, standardizing, and extrapolating data.
  • Supervision & Staff Support Supervise up to three admissions processors, providing coaching, direction, and performance oversight. Train and onboard new staff; coordinate ongoing training for all admissions personnel on systems, processes, and data usage. Create and maintain documentation for existing and new operational procedures.
  • International Admissions Support Oversee the processing of international admissions documents within Slate. Serve as a secondary Designated School Official ( DSO ) for issuing I‑20s.
